Task Status and Status Reasons

For the most part, Statuses are updated when the Task moves through the the steps of Work Execution Management process in the Planner Portal.  It is not necessary to change the Task Status and Sub-Status manually.

EFP has been designed so, depending on the Task Status, specific Task Status Reasons will be available to streamline the planning/scheduling process.   An event tracks whenever the status/status reason changes.  This makes it easier to understand what is happening at each level of the task.

Task Statuses and Status Reasons are visible in the CLIENT and in the Portal.  In the Portal they can be found and edited under the Task Summary Screen.

1. When the task is created, it is NEW.

There are no Task Status Reasons associated with NEW.

New Tasks automatically go to the Planner Portal to be confirmed as a valid task and then Planned.

2. After New, it moves to IN PLANNING. This is primarily used for non-MRCT breakdown WO/Tasks: Work order is received,  P/S assigns an initial priority and estimated duration, and sets status to IN PLANNING.

There are several Task Status Reasons available while In Planning, but it can be left blank as well.

  • Kitted - Part Needs added to the Task.  They are in stock, and ready for Tech to pick up.
  • Planning Complete -  P/S has completed entire planning process:  Step(s) are added, Technician is scheduled, Planned Start and Date Planned are updated as is duration.  If parts are needed, they have been added to the Task.  
  • Scheduling Complete - P/S has assigned technician, estimated duration and initial priority.
  • Waiting on Materials - Part Needs have been identified and are on order.  If your site handles inventory in EFP, the system will automatically put the Task on Hold/Waiting on Materials if the part is not in stock.
  • Waiting on Production - This status reason is used if we are waiting on the customer before we can begin work.
  • Waiting on Service - This status reason is used when we are waiting for an external service before the work can be performed.

Note:  In Progress and In Planning look very much the same.  Be careful when selecting to ensure you are choosing the proper status.

3. READY FOR EXECUTION is next.   This would be used to indicate that the task has been scheduled with the customer.  It is assigned to a Technician and is ready to be completed.

Once the task has gone through Period Capacity scheduling, it will move to Ready for Execution.

There are a few Task Status Reasons available while In Ready for Execution, but it can be left blank as well.

Assigned - This status reason is used once the task has been assigned to a Technician in Daily Capacity.

Ready for Kitting - This status reason is used when parts are in stock, and ready for Tech to pick up.

Kitted and Staged - This status reason is used when parts needs have been added to the Task.

Ready for Execution CAN NOT be selected manually.

4. Next is IN PROGRESS.  This group of Status/Status Reasons that is usually set manually.  The only exception to this rule is the "Rework Required" Status Reason.

Again, the Task Status Reason can be blank, or can be marked any of the following:

  • Accepted - Used mostly by our Traveling Techs to confirm acceptance of the job.
  • Arrived - Used mostly by our traveling techs to confirm arrival at the job site.
  • Carryover - Any task that cannot be completed by the current technician.
  • En Route - Used mostly by our traveling techs to designate traveling time.
  • Rework Required - Automatically assigned in the Portal when the Supervisor reopens a WO/Task during the review process.  

5. If the task cannot be completed right away, you would change the Task Status to HOLD. This could be used if the customer wants to defer the work to a later date or when they are debating if the work needs to be completed.

The HOLD/WMAT Status combination has built-in validations by the system.  The Task Status reasons can be blank or one of the three listed below:

  • Waiting on Materials: Part Needs have been identified and are on order.  
    • If your site handles inventory in EFP, the system will automatically put the Task on HOLD/Waiting on Materials if the part is not in stock.
    • Once the part is received by the SCS, EFP will move the status to IN PROGRESS.
    • You will not be able to put a Task on HOLD/WMAT if you have the part in stock.
      • If your site does NOT handle parts in EFP, you will skip this validation.  Any use of the HOLD status must be manually entered.
  • Waiting on Production: This status reason is used if we are waiting on the customer before we can begin work.
  • Waiting on Service:  This status reason is used when we are waiting for an external service before the work can be performed.

6. After the work is done, the Task Status goes to COMPLETED. WO/Task steps are complete waiting for review.

  • In most cases, the COMPLETED Task status is available once all the required fields have been satisfied.
  • Once all tasks within the Work Order are complete, the Work Order will complete as well.
  • No Task Status Reasons are associated with Completed.

 

7. The Supervisor reviews the Task.  This is the final sign-off on the work that has been done.

Available Task Status Reasons associated with REVIEWED are:

  • Blank
  • Accepted - will be used in a future state.

8. The last Task Status is CANCELED. This is used when the WO/task has been determined to be a duplicate of another WO/task or there is no need to carry out the task.

There are no Task Status Reasons associated with Canceled.

Once the Canceled task has gone through the Review process, the status changes to Canceled-Reviewed.
