How do I add/consume Parts in the CLIENT?

There may be times when you will need to add a Part Need to an open Task, then consume that Part. You can do these functions through the CLIENT.

Steps in the screenshots correspond to the numbers in the headings.

1. From the main menu, go to Service > Tasks.

2. Expand the red chevron in the search panel.

3. The General tab is the highlighted default view. Enter the Task ID for which you need a part.

4. Click the green magnifying glass.

5. The Task record loads in the right work panes.

6. Press F11 on your keyboard to collapse the header. Click the Part Needs tab.

7. Click New.

8. A new Sequence line appears and a number either appears (1), or in this case changes (2) in the Part Needs tab.

9. If you have the Part ID number, enter that in the Part ID field.

10. If you don't know the Part ID, click the Stock Lookup tab. This opens a Search window for all the parts that currently have quantity on hand at your site. Under the General tab, the search will tell you the Part ID number as well as the Bin ID, quantity on hand, number allocated and the Unit Cost.

The Stock Lookup button only brings in items that are currently in stock.  If you want to see all items that are associated with your site, whether or not you have them currently in stock, clear the ">0" from the Qty on Hand field (as highlighted in yellow below) and search again.

10.1. Highlight the Part needed.

10.2. Hit OK.

11. The Part Need Sequence line automatically loads with information on the Part you selected.

11.1. Fill in the Quantity needed.

11.2. The default Priority level is 3 - Normal. If this is a Hot Requisition, use the drop-down arrow to select 1 - Emergency or 2-Urgent.  

12. The Need by Date defaults to 7 days from the current day.  You can move the date out, but you can not move it up unless you first change the Priority.

In this example, today's date is 11/15/18, so the default Need by date for a 3 - Normal Priority is 11/22/18. Even though the drop-down calendar lets you select any date up to the current date without changing the Priority, you will get a Validation message when you try to Save that states "Need by Date cannot be less than 7 days from now."

12.1. If you wish to move the date up, first move the Priority to 1 - Emergency or 2 - Urgent.

12.2. Use the drop-down calendar to select the desired date. You can move it up as far as the current date.

13. Click Control + S to save; or click F11 on the keyboard to expand the upper work space and click the Save Button.

If the part is not currently in stock, a requisition for the part will kick off the next time refill to target runs.  The SCS releases the requisition to the buyer.  The Buyer will provide a Promised by Date for when you can expect to receive the part on site as part of the PO posting process.

14. Once the Part has been received (if applicable) and allocated to the Task, you can consume the Part by checking the Parts Used box, then Save.
