Steps in the screenshots correspond to the numbers in the headings.
If you need additional cards for your Tier I board, you can order them by putting in a manual requisition for Supplies in the EFP CLIENT. The requisition should go in under the GNS ID: OFFICE SUPPLIES You will want to make sure you enter all the details in the description and the internal comments so that your order processes smoothly.
- Remember, Office Supplies keys off a quantity at a specific price.
- Follow the instructions below to process your requisition.
1. From the main menu, go to Inventory > Purchasing > Purchase Order.
2. Click the red New button or the blue hyperlink (if the screen doesn’t populate).
3. In the header, enter Supplier ID* or click on the magnifying glass to get the Supplier Look-up.
3.1. Supplier ID is SU10018334
3.2. Supplier Name: Martin One Source
3.3. Supplier ID: 808 N. County Fair Drive Champaign, IL
When using the supplier lookup, enter an asterisk before and after part of the name. Once you have found the supplier, you can highlight and click OK to load, or simply double click -- whichever is easier for you!
4. In the center column, your Ship To Place*, Address ID, and Outbound Carrier will default in.
If you need to look up your Ship to Place, click on the Magnifying Glass at the end of the field. Enter your four-digit site number and click search. Be sure to select the ST number vs. the BT number.
5. On the right column of the header, click the drop-down arrow next to PO Category*, then select Supply.
- If the Release checkbox is checked, you will want to uncheck it until all the information is properly entered.
- Once you've Released a Requisition to the Buyer, the SCS is unable to make any changes to the Req.

6. In the Internal Comments tab, put the following note: e-mail PO to7. In the lower page tabs, click the Good and Services tab.
8. Under the Goods and Services tab, click New.
9. On the new line, enter the GNS ID* OFFICE SUPPLIES. This can be typed directly into the text box or it can be brought up by using the search functions.
10. Leave Services Category Blank.
11. Leave Work Order blank.
12. Enter the required Quantity of 1. This refers to the total quantity.
13. Enter the Unit Cost as listed below.
250 Cards: $201.00
500 Cards: $211.00
1,000 Cards: $232.00
2,500 Cards: $423.00
10,000 Cards: $630.00
14. Select the Priority. The default Priority is set to 3-Normal. Use the drop-down arrow to change the Priority.
15. Enter the Description* ACTION TRACKING CARDS: CI FORM (QTY#______)
*You do not want to leave the description as OFFICE SUPPLIES because the supplier will not know what you are trying to order. Additionally, this is what shows on your PO reporting, and at the end of the month you’ll have to research the details all over again.
16. In the same line under PO Category, click the drop-down arrow, then select Supply.
17. Click on the drop-down arrow next to the Customer Want by Date to bring up a calendar. Select your Want by Date.
The Customer Want by Date is connected to the Priority. The Priority defaults in at 3 - Normal. With a Priority of 3, the soonest you can select for a Customer Want by Date is the current day + 7 days. If you want the product sooner, you must first change the Priority to a 1 or 2. Each time the Customer Want by Date is changed, that change is recorded in the Events tab.
Note: If you want this to be billable to the Customer, you MUST check the BILLABLE checkbox before releasing the requisition.
18. Click Save in the header.
Do one final check before releasing the Req!
- Does your supplier say Martin One Source (SU10018334)
- Is your site number accurate in the header
- Is the PO category SUPPLY?
- Is the total cost accurate?
- Do you have the email notification in the internal comments?
- Look at your GNS Line - Is the GNS ID OFFICE SUPPLIES?
- Are the cost and quantity accurate?
- Does the description say "ACTION TRACKING CARDS: CI FORM Qty____"
- Is your PO Category on the line SUPPLY?
- Is your Customer Want By Date accurate?
19. After you’ve checked everything for accuracy, click the Release checkbox in the top right column of the header.
The SCS is locked out of the Requisition from this point on.
- This Releases the Requisition to the Buyer.
- An Event is created stating a Requisition has been created.
