How do the Tabs work in Search Function?

Updated on

Steps in the screenshots correspond to the numbers in the headings.

Tabs in the search field are accessible by clicking on the red chevron.  This will allow you to dive much greater detail in your search, as well as customize and save searches for future use.  The tabs and fields available are different by screen.  Remember that the tabs work IN COMBINATION with each other, so what you enter in one field on one tab is added to the the information you enter on the next.

For our example, we will be using the Task Template Screen, but the concept is the same for all screens.

For these search examples, we will be working in the Task Templates. In the top menu, go to Service > Admin > Task Template.

1. If you don't use any of the expanded search functions and just type into the text box of the search field, you don't need to use any wildcards (asterisks, etc.).  In our example, we typed "light" into the text box, and 27 results were returned.

2. In this example, we used the lower tabs, and typed "light" with an asterisk after it into the description.  Instead of getting 27 results, only 7 were returned.  The results would include only items that had "light" in the actual task template description and it would only pick up things with "light" in the beginning.

3. Using a wildcard before and after the term will pull any Task Template that has Lights anywhere in the description - whether there are letters before or after the word.

If you forget to enter an asterisk, only the single Task Template that is assigned to the 0408 Team is returned.

4. Using an asterisk or other wildcards is important when working in the lower tabs. If I wanted to see all Task Templates associated to Site 0408, I would type in 0408* in the Team ID field.  284 Records were returned.

5. If you wanted to see all the Task Templates for site 0408 that were Annual, you could enter the following in the general Tab.   •Description is *-A    •Team = 0408*

Note that Task Template ID 2350 has a duration of Zero Minutes.  You want to see if there are others.

6. Click on the Other Tab.

7. In the duration field, enter a Zero.

8. Click the green magnifying glass.

A second record was found.

9. The results populate below.

As an example, if you wanted to save a search with your Monthly Operator Performed Templates at your site, you would follow these instructions:

10. Expand the red chevron in the search field.

11. Under the General tab, for the description enter "*-M".

12. Enter the ID of your Customer Team.

13. Click on the drop-down arrow next to the green magnifying glass in the search field.

14. Choose Save As.

15. Enter a title beginning with your site number.

DO NOT MAKE PUBLIC!

16. Click OK.
