1.2 As a Customer, how do I create a Work Order to report an Equipment Malfunction?

Steps in the screenshots correspond to the numbers in the headings.

1. Enter your 3-digit site number.

2. Select Continue.

3. On this screen the email will default and the user will just have to enter the password.

4. Select Continue.

  • URL: https:\\work.efactorypro.com
  • Login: your 3-digit site number
  • On the next screen enter the password.
  • Password: City of the site location (First letter capitalized)

If you are following along in the training environment use the following credentials:

Log in - 493

Password - Peoria

5. Click the +Work Order button in the upper right corner of the screen.

6. The question about Change Over defaults to NO.  Leave it that way

7. The toggle for Reporting an Equipment Issue defaults to YES.  Leave it that way.

Default is YES --You would change it to NO if you were entering a ticket not related to a problem, or a ticket related to a project or sub-location.

8. Is anyone in danger or at risk?

Default is NO.  Changing it to yes will add the Safety sub-type.

9. Does this require an immediate response?

Default is NO.  Changing this to yes will raise the Priority from 3 (Normal)  to 2 (Urgent) .

10. Enter a complete description of the problem.  This is a 250-character field.

11. Click NEXT.

Because you selected that you were reporting an equipment malfunction, you only have the option to select a machine, NOT a sub-location.

12. Select the SEARCH EQUIPMENT button.

13. In this case we want to search for 'grinder' via the Table Filters. Search grinder and select the correct piece of equipment.

14. The current operating status is shown.

If following along with the training please be sure to select a piece of equipment that is an UP status.

  • You can also search by the Asset ID (Tech ID) or Description.
  • Click on the desired equipment to highlight and load the information.

15. If you wish to change the operating status, simply click on the drop-down arrow next to Malfunction Type.

16. Choose Reduced or Down as applicable.

17. A malfunction start time will be stamped.

18. Click Next.

19. If more information needs to be entered to describe the problem, the Additional Notes field can be used.  Information entered here will show up in the NOTES area of the Work Order for the Technician to view.

20. Click Next.

21. The default team will populate for that machine, but the Customer can select a different team.

22. Enter the first and last name of the person entering the ticket.

23. If you want email notifications, enter your email address.

While the email address is optional the user can NOT click SAVE until a first and last name have been entered.

24. Click SAVE.

A confirmation message appears.  You can click DISMISS to return to the home page or View Work Order to enter the Work Order Summary.

Email Updates will send you notifications when Notes are added to the Task and when the Work Order is closed.

This process can also be done from the Equipment view:

25. From the Menu Bar of the Customer Portal, select Equipment.

26. Select a piece of equipment from the list view.

27. Select the +Work Order Button from the top  panel. This will kick off the process that is shown above.
