When would I run the Stock Count EXCEPTION Report?

Updated on

Steps in the screenshots correspond to the numbers in the headings.

Stock Count Exceptions are part records that are were not counted, entered or posted on a previous count.  If that count is not completed before this Stock Count begins, the Stock Count Exceptions continue to grow, and it becomes a mess to fix.

It is critical that you do NOT delete your information from the run logs for any Stock Count Processes.  If we have to go back and troubleshoot what has happened and which Run these exceptions are from, and there is no data, it becomes very difficult if not impossible to do.

1. From the Main Menu, go to Inventory, Logistics, Stock Counts.

2. Enter your stock count information.

3. Enter your Cycle Count information and hit save.

4. The Stock Count generation will kick off and you will be asked to check the run log.  Click OK.

5. Go to File > Run Log.

6. Check the Run log by entering the Run Log ID in the Foreign Key Num1 field under the ID tab.

7. Check the Run Log.  Look for Number of Records Processed, the Run Status should say complete and the Run Status Description.  BLANK IS GOOD!  If there are Exceptions you need to run the Stock Count Exception Report.

8. Go to your browser and open the SQL Reporting Server: https://ssrs.advancedtech.com/Reports.

9. Under the BROWSE Tab, click on the ATS FMS Reports folder.

10. Click on the Stock Count Exception Report.

11. Enter the Run Log ID and click View Report.

The Report will populate showing you all parts that are still open on a previous stock count.    As with all Stock Count Reports, download and save a copy in your folder for future reference.

12. Complete the previous count that is causing the exceptions.  Run the variance and post that count as usual.

13. Delete this new count with all the Exceptions.  Do Not Delete the Run Log entry.

Check the Run Log to ensure the Run Status says "Complete" and that the total records processed is the same as in the original Run.

14. You are now able to run a new count that should run without exceptions.
