2.10 When would I mark a Task IN PLANNING/Ready for Scheduling and which Work Order types can I use it on?

As of 9/8/2021, new functionality is being rolled out that will affect Planning and Scheduling.  There will also be changes to how the Technician is assigned, how some reporting data will display, and more.  If you are reading this document and it appears somewhat differently than what you are currently seeing, it is because of the upcoming changes. This document is to prepare you for how the system will look and act.

IN PLANNING/Ready for Scheduling is used by the Planner Scheduler to indicate that all planning information is complete, including any research on materials, machine availability, Technician work schedules, etc.   It is now ready to be scheduled.  If your site is responsible for parts as well, this checkbox may be used in combination with the Kitted checkbox, which would indicate that the Supply Chain Specialist has gathered all of the necessary parts and put them together for the Technician in a particular area of the crib.

The majority of the time, this status will be used more on MPRO and MOTH Work Order Task types, but if you have time to do a follow-up on a Reactive job, it is entirely possible that you could use this sub-type for CM (Corrective Maintenance) Tasks as well.  

The fastest and most efficient way to mark a task as "In  Planning/Ready for Scheduling is to use the Planning Wizard in the Planner Portal.  You will find instructions on how to do that here: Is there an overview of the Planning Wizard in the Planner Portal? and How does the Summary Panel work in the Planning Wizard?

The following instructions show you how to mark a process an individual task (if needed) from the Tech Portal or the CLIENT.

Portal

To mark a Task as IN PLANNING/Ready for Scheduling in the Portal, start by clicking on the Task List button.

1. Highlight the line to load the record.

2. Click on the Edit button from the Task Summary panel.

3. Be sure that the Status says IN PLANNING.

4. From the Task Status Reason drop-down, choose Ready for Scheduling.

5. Click Save.

CLIENT

In the CLIENT, the Status Reason "Ready for Scheduling" shows as "Planning Complete", as that basically means the same thing as Ready for Scheduling and the Planner will us the Portal for the majority of the scheduling.

Any task that shows with a status reason of Planning Complete will show as Ready for Scheduling in the Portal.

To mark a Task as Ready for Scheduling in the CLIENT:

1. From the Main Menu, go to Service>Tasks.

2. Enter the Task ID and hit the green magnifying glass.  Click on the record to load.

3. In the center column, ensure that the status is IN PLANNING.  

4. Click on the magnifying glass next to the Task Status Reason and choose Planning Complete.

5. Click Save in the header.

Planner Portal

6. You can also easily move tasks that have met the minimum planning criteria to the "Ready for Scheduling" status through the Planning Wizard in the Planner Portal. In the Planner Portal, click on Tasks.

6.1. Click on the Funnel Icon to bring up the filter options

6.2. Choose Planned Duration.  Your filter options should be set to Greater than Zero.

6.3. Choose Steps.  Your filter options should be set to Greater than one.

6.4. Click Apply. Choose the Tasks that meet the criteria by checking the box in front of the Task Number.

6.5. You can schedule from here using check-boxes and the "Mark Planned" icon on the far right. As long as the planning criteria has been met, you can add Click on the circle with the checkmark after marking the tasks you wish to move.

6.6. A confirmation message will tell you that the task(s) has been marked as Ready for Scheduling.

This will move the selected tasks to the Ready for Scheduling (Period/Weekly capacity) queue.

6.7. If some of the required information is missing, you can click on the checkmark in front of the tasks and move them into the Planning Wizard.  You do this by clicking on the Magic Wand icon.

Planning - Google Chrome

From the Planning Wizard screen, you can update Job Plans, add steps, attachments, parts, etc.

6.8. The Summary screen will show you what is missing in order for this task to count as "Planned".  Assuming that you have all green checkmarks, click on the icon under Action.  This moves the task to Ready for Scheduling.

Anything that has been marked with the Planning Complete Task Status Reason can be viewed in the Task Planning Report.  This work is now ready to be blocked off into a weekly schedule.

The Technician / Assigned Technician / Owner field on this report will only show data before 9/8/2021.  After that date, the field will be blank.  This change was made to accommodate the skillset functionality contained in the Scheduling process of the Planner Portal.

Remember, simply marking the Task with this Task Status Reason is NOT enough to have the task qualify for your Planned Metric in Power BI.  Refer to What do I have to do to have a task be included in my "Planned" Metrics?
