2.2 Working with Work Orders, Tasks and Steps

This article will walk you through how to get from a work order to a task, and then to steps on that task.

In the Portal, click on Work Order.  From the drop-down arrow you will see the following:

  • Open Work Orders
  • Closed Work Orders
  • All Work Orders
  • Custom

The Customer primarily focuses on the Work Order level, as they are mainly concerned with a high level view.  The Technician always focuses on the TASK level. All work is done at the TASK LEVEL.

You should think of the Work Order as the "header" or the "folder" for the Task.

No work is done on the Work Order -- it is all done at the Task level.  (Remember, the Work Order is just the header or the folder.)

The Work Order and the Task are created at the same time in eFACTORYPRO.  

1. Task

In EFP, the Tech chooses the type of work that s/he will be performing (Task Type) and the Work Order is created at the same time.

Task Type Work Order Type
Corrective Maintenance (CM) MRCT:  Reactive
Preventative Maintenance (PM), Predictive Maintenance (PdM) , Follow-Up Maintenance (FM) MPRO:  Proactive
Project (PR), Event (EV), Calibration (CA), Continuous Improvement (CI), Meeting (MT), Training (TR), Health Assessment (HA) MOTH:  Other

ALL THE WORK IS DONE AT THE TASK LEVEL!  This is where you will put your time, notes, parts, repair codes, downtime, meter readings, attachments, etc.

There can be Follow-Up Tasks added to the Work Order if desired or needed.

The Tech Portal will default to the My Schedule View.  As another option, you can click on the Task List button and choose from  the drop-down arrow options:

  • All Carryover Tasks
  • All Open Tasks
  • Unassigned Tasks
  • Assigned Tasks
  • Today's Schedule
  • Down and Reduced
  • Recent Customer Tasks
  • Open Safety Tasks
  • Open Tasks WMAT
  • All Open PMs
  • Low Priority
  • Reviewed Tasks
  • All Tasks
  • Custom

2. Steps

Every Task has at least one step (the Safety Pre-Task Analysis), and planned tasks, or PM tasks, have more.

Steps are the operations you need to perform to complete the work.

Most of the time, steps are required, but occasionally, a step can be optional.  

An example would be:  Check the Filter (Required).  The following step would say:  Replace the Filter if Necessary (this step may or may not be marked as required, with the technician checking the "Complete" checkbox only if the filter is replaced).

Steps may be marked "Complete" individually or may be marked with the "Complete All" button.

ALL steps that are marked as YES under the Required column must be marked as completed in order to mark the task as COMPLETE. They are optional if marked as NO in the same column.

Any Task that has a job plan/task template has the ability for the tech to leave feedback on the Job Plan overall, as well as the individual steps.  For more information on how to do this, please see this article.
