3.2 What happens after the Tech enters a NEW PART request in the Portal? (Buyer creates part in MDS)

When a part has never existed in the ATS Parts Database, the Technician must put in a request for a New Part.  After entering all the the appropriate information in the pop-up box in the Portal, the Technician should tell the SCS that s/he has requested a New Part. Once the Tech completes the New Part request, an escalation is sent to the Data Integrity Group.  As of right now, this group is composed of the Purchasing Group.

1. Data Integrity (Buyer) goes to their Escalations tab and searches for Open New Part Requests for each site.  From the main menu, go to Service > Escalations.

The Buyer has to proactively do this.  There is nothing in the system that alerts them that a New Part request has come in.  Therefore, if it is a HOT request, it's a good idea to follow up with an email or an instant message so they are aware it is a priority.

2. Expand the red chevron in the search field.

3. Select Pending as the Approval Status.

4. Select New Part Needs Sourcing as the Type.

5. Enter the Ship To number for the Place ID (ST#).

6. Click the green magnifying glass to load the results.

7. All pending escalations for New Parts are listed in the results below.

8. The buyer can see from the escalation how long it's been open, who requested the part, and other information.

9. The escalation number is a hyperlink.  Click on it. The breadcrumb will show Escalation > Part Need.

You will see the following information:

1. Site (ST#) and Location

2. Priority

3. Cost - this will default to .02.  The Technician does not have the ability to enter cost as sourcing the purchasing team's responsibility.

4. Notes - (This field can contain any information input by Technician when adding Part Need.)

5. Part ID = NEW PART

6. Supplier will be blank as it will be sourced by the buyer.

7. Part Need Status should be ENTERED.  If it says Canceled or Completed, the part may not still be needed.

8. Quantity

9. Need by Date

10. Task ID

11. Manufacturer Information

12. Manufacturer's Part #

13. Material Description

14. Material Group.

10. The first step is to check to see if this part already exists in the ATS Database.  Go to Inventory > Parts and expand the red chevron.

11. Enter the Mfg. Part # and click the green magnifying glass to see if a Part record loads.

In this case, the part record does NOT exist. The buyer must now create the Part in MDS.  The instructions to do this follow:

12. Log into the MDS User Interface

13. Make sure that Parts shows under the Model drop down.

14. Click on Explorer.

15. From the menu, click on Entities.

16. Choose Parts from the drop-down.

Your screen now says Parts Entity.

17. Click on Add Member.

18. The details section on the right side of the screen will come up.  This is where you will enter your information to create the new part.

18.1. Name:  Leave this field blank.  This will be populated with the next available IFS/EFP Part number.

18.2. Code:  This is an auto-generated MDS Code that comes up upon completion.

It is this Code field that you will use to search for the ATS Part Number in the EFP CLIENT.

18.3. Primary Supplier ID.  A list of the active suppliers are available to choose from.  If this field is left blank, the record will be created with the supplier "UNKNOWN".

If the supplier is not already in the system, it must be added to SAP first.  

18.4. If you want to enter an ABC code you can, but they are not required.  Simply select one from the drop-down menu or leave it blank.

18.5. The Manufacturer Part Number is a required field.  Please enter the MFG Part number with the special characters.

18.6. Description is a free-text field.  You can enter the noun:modifier combination here, or a short description of the part.

18.7. Free Text is another free text field that allows you to enter details about attributes of the part.

18.8. Manufacturer - You must select the MFG from the pre-set list.  

If the manufacturer you are looking for is not available,  contact Corey Tapp to get a new manufacturer added.

18.9. Repair Supplier ID:  If this is a repairable part, the Repair Supplier ID should be populated.  You can select the supplier by using the funnel to search for any of the active suppliers on the list.

18.10. Old Material Number:  This is the MFG Part Number without any special characters.  You do not need to enter anything here, the system will do it for you upon saving.

18.11. The remaining fields will default in upon saving:  

You just need to confirm that you do not want to change any of the defaults.

18.11.1. Adjust Stock - YES is the default value.

18.11.2. Consignment - NO is the default value.

18.11.3. Serialized - NO is the default value.

18.11.4. Part Becomes Product - NO is the default value.

18.11.5. Controlled Part - NO is the default value.

18.11.6. Controlled Return - Null is the default value.

18.11.7. Commodity Group is a required field.  Click on the pencil to bring up a list of existing codes and select the proper code by scrolling down and selecting OK.

18.11.8. Tenant - Leave Blank.

18.11.9. Sync - Leave Blank.

19. Click OK.  This will run a preliminary check for errors.

20. If everything is correct, you will see a message showing that no there are no validation errors.  

21. The "Code" field is now populated with your MDS number.

This is the number that you will use to find your ATS part number to finish the NEW PART Escalation.

22. The Part has also been added to the grid on the left.

23. Copy the Code number and go back to the EFP Client.

24. From the Main Menu, go to Inventory > Parts.

25. Expand the chevron in the search field.

26. Enter the code in the MDS Part ID field and click the green Magnifying Glass.

27. The ATS Part Number will be shown.

An integration populates the ATS part number from MDS so it may take a minute or two to generate.

28. In the Part Need of the Escalation, replace New Part with the ATS Part Number.

29. Click Save.

30. Leave the Part Need Status as Entered.  If the part need status gets changed to anything other than entered, no requisition will ever be created.

32. Change the Approval Status of the ESCALATION (not Part Need) to Approved.

33. Click Save.  

You cannot wait and just save after changing the escalation status - you must save each time - 1st after changing the approval status and then again after changing the Escalation status.

34. Change the Escalation Status to Completed.

This changes the Status to completed as well.

35. Click Save.

36. The ATS Part Number is now on the Task (Service > Task).

37. If it meets the criteria where a Requisition should be generated, a requisition will be kicked out once Refill to Targets is run.

Refill to Targets runs once an hour for each location:

  • The ATS Location runs at 15 minutes past the hour.
  • The Customer Location runs at 45 minutes past the hour.
