2.1 How can I tell if the Customer Want by Date has been changed by the Site?

Steps in the screenshots correspond to the numbers in the headings.

If the part is requested on a Task, the Customer Want by Date is originally entered by the Technician in the Portal.  If the System is generating the requisition based off a Min/Max request, or if the Supply Chain Specialist is creating a manual requisition, the Customer Want by Date defaults to 7 days after the date the Req was created.

This is because the Priority for the Part Need will default to 3-Normal.  The SCS can move the date up or back, as long as s/he adjusts the priority first.

An Event is created every time the Customer Want by Date is changed.  As a Buyer, you will want to check the Events tab for this information if you think the date has changed.

1. From the main menu in the Client, go to Inventory > Purchasing > Purchase Order.

2. Enter the Req number in the text search field and click the green magnifying glass.

3. The record loads.

4. Click on the Parts or Goods and Services tab.  You will know which one is applicable as it will have a number in parentheses in the tab title.

5. Scroll over to the middle of the part need line and you will see the Customer Want by Date.

6. Click on the Events tab.

7. The Events tab lists all events that have happened to this Req up to the time the SCS released it to the Buyer.

8. The original Line was created on 10/17. Remember that Part Need defaults to Priority 3 - Normal, which means that by default, the customer Want by Date defaults to 7 days out.

9. Before releasing the Req, the SCS moved the Part Need Priority from 3-Normal to 2-Urgent.

10. Once the Priority was higher, the SCS could move the date up.  This event was tracked as well.

11. Once the Buyer confirms with the vendor, enters all the information and posts the PO, the Events will capture that information as well.

The SCS and/or Buyer can actually update the Customer Wanted by Date even after the PO is Posted.  If this happens, there will be an event captured, so that the Purchasing Team will have traceability to see all the information around how the demand changed.

It is important that anyone who is moving up the Customer Want by Date communicates thoroughly with all other parties, so that we can do our best to ensure that the part gets to the site when they need it.

It may be immaterial if the site moves up the customer wanted by date if they don't communicate with the buyer.  We have included this information because, if the site moves the date up, the new customer want by date will show in the portal.  Just moving up the customer want by date does NOT ensure that the part will get to the site faster.  The vendor may not be able to move up the delivery time, etc.  More coordination between the parties involved is required.
