3.5 When would I see a Replacement Part Number?

Updated on

Steps in the screenshots correspond to the numbers in the headings.

Replacement Part Numbers are used when a part is no longer available.  This can be either on a temporary or permanent basis.

All of the stock available for the original Part ID will be consumed before the Replacement Part Number will be used.

1. The Buyer goes into the existing Part Record (the Part ID number that is no longer valid) and enters the information for the Replacement Part in the Replacements tab.

The Buyer enters the ATS Part number, marks whether it is a temporary or permanent replacement, and enters any comments.

The Buyer must then search for Stock Records for the original part number.  In every Place ID for Every Location, the Min/Max for the Part number that is being replaced MUST BE TAKEN TO ZERO!  If the stock record is left with a Min/Max that is greater than Zero, a requisition will generate for the old part, regardless of the fact that a replacement part is listed.

2. If the Technician happens to request the outdated part in the Portal, it will still come up as usual.

3. This eye icon will let the user know this is a replacement part.

Existing Part Number ends with 974.

Replacement Part Number ends with 083.

4. However, when the Part Need is actually added to the task, if the original part is no longer in stock and the part would need to be ordered, EFP will automatically convert to the Replacement Part Number.

Because the Replacement Part Number is the one that is on the Task Part Need, that is the one that will be requested on the Requisition/Purchase Order.

Replacement Parts do not affect your existing inventory.  They only affect purchasing of the affected part going forward.
