Steps in the screenshots correspond to the numbers in the headings.
As a Buyer, one of the most important things you can do to ensure your work goes smoothly is to check the Events tab when processing Purchase Orders. As you know, SAP is our Accounting system of record, and EFP is our Purchasing system of record. Our developers have added Event Messages every time there is an Integration between the two systems.
Please note: The EVENT messages you receive for a Parts Line can be different than the EVENT messages for a GNS Line.
Examples of when you will receive an event:
- Part or GNS Line Created
- Requisition Created
- Billable Status Change
- Requisition released for Purchase
- Supplier Change
- Quantity Change
- Cost changed
- Purchase Order Posted
- Customer Want By Date Change
- Customer Promise By Date Change
If the Purchase Order has several lines or has had many changes to the lines, you will want to set up your screen so that you can easily scroll through the events vs. using the default play/fast forward buttons to move between screens.
1. As you can see from the screenshot below, there are multiple (in this case 46) events from the time the Req was created til now.
2. By default, when you are looking at the sorting of Event messages, the most recent will be on the bottom.
3. By simply clicking on the words Event Date/Time, the sort order changes, and the most current moves to the top.
This is one change that will not save. If you want to see Most Current on top, you will have to repeat step 3 each time.
4. Note that the Old Value is on the left column and the New Value is on the right.
5. By default, the screen size is limited, and you navigate through screens by clicking on the Play and Fast Forward buttons.
You only have to perform these next steps once - and save your screen settings going forward. From then on, your screen will always load this way, making it easy for you to scroll through the event.
6. RIGHT-CLICK on the Event/Date and Time field.
7. Choose Set Page Size from the drop down.
9. Go to the system search in the upper right corner and type in SAVE.
10. Click on the Save Screen Settings selection.
11. A confirmation message appears. Click Yes.
12. A success message tells you that the Settings have been saved.
13. Open another Events tab to confirm that the changes have saved.
The Play/Fast Forward buttons are grayed out and the scroll bar is present for you to easily move between screens.
