1.4 As a Technician, how do I mark a Task as Proactive?

This training course will take you through the process of making a new Task Proactive.

Some Tasks, like PM, PdMs and FMs, are Proactive by default.  PMs (Preventative Maintenance Tasks) are primarily generated by the system or can occasionally be manually called by the Planner/Scheduler.  PdMs (Predictive Maintenance Tasks) are generated by the Planner/Scheduler as they require planning and a kit.  FMs (Follow-Up Maintenance Tasks) can and should be put in any time there is additional work found when completing a PM or PdM. Follow-Up Maintenance Tasks are the only Task type created in the Portal that DEFAULT to Proactive.

There may be times when your Site Manager or Planner Scheduler feels the work that you are doing should be classified as Proactive.  

One example might be a project for rebuilding a machine. This is typically classified as a MOTH Work Order, with the Task type of PR -- but now you have the option to mark the individual task as Proactive if applicable.

  • The Tech can do this during either the Work Order/Task creation or when completing the Task on the Summary Page.
  • The Site Manager can also mark the Task as Proactive during the Work Order Review.

1. From the Tasks screen, click on the + WORK ORDER button.

2. Choose Project as the type of work. (This is just for our example.)

3. Enter the Priority.

The default is 3 - Normal.

4. Enter a Description.

 This is a 250-character field.

5. The toggle defaults to Non-Proactive Task.

 Slide it to the right to show PROACTIVE Task.

6. Click NEXT and finish the remainder of the Work Order/Task creation.  

7. Click View Task.

8. The Summary panel will show if the Task is Proactive.

  • This is a simple YES or NO display.
  • The field to the left will tell you the Work Order type.
  • Any MPRO Task is automatically YES and cannot be changed to Non-Proactive.
  • Any MRCT or MOTH Task that has been marked Proactive through the toggle will show YES.

9. To edit the Proactive toggle on an existing Task, click the EDIT icon on the Summary tab of the Task. The Edit Task Summary box will appear.

10. Select the Proactive Task toggle to turn it OFF.

11. Once the Task has been completed, the Supervisor has the option to mark the Task Proactive during the review process by clicking on the Edit button under the Task.

Any labor hours assigned to Tasks that have been marked Proactive (either by default or with the Proactive toggle) will count as Proactive hours for your Power BI Proactive % metric. This will eliminate any need to redo your metrics deck for any sites who want to go forward using the new metric that includes the Toggle Tasks.

  • The original SMRP Version of the Proactive/Reactive Metric will still be available, and it is that Metric that will be used for the ATS Balanced Scorecard Calculations.
  • It is up to Site Management as to which set of charts they wish to display to their customers.
