2.12 As a Technician, what do I need to know about the NOTES section of the Work Module?

This training course will take you through what is needed to know about Notes and how they interact with a Task.

Notes are a required field for all Task Completion.  They are visible to the Customer as well as the site personnel, so it is extremely important that you are professional with your wording when writing notes.

You can tell that it is a required field as the Notes icon badge is in Red, indicating that nothing has been entered and that something MUST be entered before the Task will be able to be completed.

Here are some important things to remember about Notes:

  • Notes automatically default in from Labor entries. There is no need to type in an additional note if you put a good description of what you did to address the Work Order/Task issue in the Labor Notes.
  • Notes will also default in when the Additional Notes field is used during Work Order creation. The original field to describe the reason for the Work Order is 250 characters. The Additional Notes screen allows for 10,000 more characters to be typed.  This defaults into the NOTES section.  If even more information is needed, both the Customer and the Technician have the ability to add additional notes.
  • A note is also created to document unusual transactions like an Emergency PO.

1. Once the Labor entry is entered, the note is transferred over into the NOTES section.

The icon then becomes green.  The note shows the person who entered the note, not the Technician that the Labor entry was associated to.

2. The person who entered the note can edit or delete it by clicking on the three dot icon at the end of the line.

3. Editing is a good way to fix any misspellings.

Remember the Customer will be able to see your notes.

4. If you want to delete the note, you will get a confirmation message asking if you are certain you want to proceed - Click Yes to delete.

If you put in multiple techs on the same labor entry that will result in multiple labor lines but ONE note line. The rule will be ONE note per labor entry regardless of how many techs get a line entry under the labor icon. So if you delete one of the Labor lines, the note will remain until ALL of the associated Labor lines are deleted. So if a line was actually for two or more different techs labor lines, the note line will still only appear once.

To add in a stand alone Note:

5. Enter the Notes icon.

6. Select the +NOTE button on the right.

7. Select the Line Code from the drop down.

Line Code choices are:

Repair

Support

Validation - Asset Improvement

Validation - Verification Device

8. Enter Note info.

9. Select Save.
