When a part has never existed in the ATS Parts Database, the Technician must put in a request for a New Part. After entering all the the appropriate information in the pop-up box in the Work Module, the Technician should tell the SCS that s/he has requested a New Part. Once the Tech completes the New Part request, an escalation is sent to the Data Integrity Group. As of right now, this group is composed of the Purchasing Group.
Steps in the screenshots correspond to the numbers in the headings.
1. Data Integrity (Buyer) goes to their Escalations tab and searches for Open New Part Requests for each site. From the main menu, go to Service > Escalations.
The Buyer has to proactively do this. There is nothing in the system that alerts them that a New Part request has come in. Therefore, if it is a HOT request, it's a good idea to follow up with an email or an instant message so they are aware it is a priority.
2. Expand the red chevron in the search field.
3. Select Pending as the Approval Status.
4. Select New Part Needs Sourcing as the Type.
5. Enter the Ship To number for the Place ID (ST#).
6. Click the green magnifying glass to load the results.
7. All pending escalations for New Parts are listed in the results below.
8. The buyer can see from the escalation how long it's been open, who requested the part, and other information.
10. The breadcrumb will show Escalation > Part Need, and you will be on the actual details for the NEW PART need. You will see the following information:
10.1. Site and Location
10.2. Priority
10.3. Cost - most of the time this will show .02. The Technician does not have the ability to enter cost as Sourcing is the buyer's role.
10.4. Notes (This field can contain any information input by Technician when adding Part Need.)
10.5. Part ID = NEW PART
10.6. Supplier will be blank as it will be sourced by the buyer.
10.7. Part Need Status should be ENTERED. If it says Canceled or Completed, the part may not still be needed.
10.8. Quantity
10.9. Need by Date
10.10. Task ID
10.11. Manufacturer Information
10.12. Manufacturer's Part number
10.13. Material Description
11. The first thing that the buyer does is check to see if the part already exists in the ATS Database. He or she goes to Inventory > Parts and searches by Manufacture, MFG Part number, or any combination thereof.
12. Enter the Mfg. Part # and click the green magnifying glass to see if a Part record loads.
In this case, the part record does exist. Had the Tech spent a little more time searching, it might have been found.
Whether they find the existing part number or they have to create a new ATS part number, the following steps then occur:
13. In the Part Need of the Escalation, replace New Part with the ATS Part Number.
14. Click Save.
15. Leave the Part Need Status as Entered. If the part need status gets changed to anything other than entered, no requisition will ever be created.
17. Change the Approval Status of the ESCALATION (not Part Need) to Approved.
19. Change the Escalation Status to Completed.
This changes the Status to completed as well.
If it meets the criteria where a Requisition should be generated, a requisition will be kicked out once Refill to Targets is run.
Refill to Targets runs once an hour for each location:
- The ATS Location runs at 15 minutes past the hour.
- The Customer Location runs at 45 minutes past the hour.
