1.8 Is there a basic overview of how the filters work in Power BI?

Steps in the screenshots correspond to the numbers in the headings.

As of April 2021, Metrics will have a new format.  Regardless of the type of license you have, you will access FMS Metrics Reports to check on your KPI performance.  

If you have a consumer license, you will access this through the "Shared with Me" drop-down.  If you have a professional license, you will access it through your Site Workspace.  Either way, you will be taken to the same reports and reporting structure.

What you need to know is that the FMS Metrics Report is not broken down in to many different reports (as was the previous case), but instead are all contained in one big file.  

This report uses Bookmarks to save filters which take you to the different report pages.  You can see how if you change a filter, it has the potential to change the navigation and cause the report (and the corresponding Customer Metrics Deck) to fail.

Therefore, regardless of the type of license you have, if you are going to be adjusting filters, you need to reach out to the FMS System Support team. They will either teach you how to make the changes yourself (if you have access and permission to do so), or they will create them for you and will share them with you.

At the highest level, we would think of the Monthly Reports as a category, but the other options on this page are considered Reports.

The reason that Monthly is a report category, is it has a number of reports contained within it.  Each of these reports have preset filters throughout all the pages of the report.

When looking at the pages in the Monthly Critical 1 Report, you will see all of the metrics available.  (These were previously on the tabs at the bottom of the report.)

Once you go into one of the pages, you will see the visualizations or charts contained on the page.

With that in mind, let's give you some basic information on filters.  To start off, there are three levels of filters:

A:  Visualization Filters affect a single chart graphic only.

B:  Page Level Filters affect all the charts on the Page of the report.  

In this case, we are looking at the Page for Planned Critical 1.

C:  The final and most-comprehensive level of filter is the Report Level filter.  

Visual Level Filters

1. You will only see the visual level filters if you have clicked on a chart

2. To see how the filtering is set up, click the drop-down arrow next to the field.

3. Basic filtering allows you to mark your selection with a checkbox.  You can, if necessary, require a single selection.

4. You can click on the drop-down and change the filter type to Advanced Filtering.

5. With Advanced Filtering, you have the option to use qualifiers to refine your search.  

6. Click Apply filter or hit Enter and the chart will show  the results.

Page Level Filters

7. Remember that the Page Level filters refer to all the charts that are on the page.  So, when we look at page level filters, you might be surprised by what you see.

8. If, for example, you look at the Date level filters at the Page level, they are blank.  This is because they are set at the Report level, and it takes precedence over Page level filters.

Report Level / All Pages Filters

9. Report or "All Pages" filters apply to every single tab or page on this report.  This particular example is Site 202's Monthly Critical 1 Report.  

10. No matter which page you chose, all of the filter setup under "All Pages" is going to be the same.

11. As an example, for the date range, you are always going to see last month (-1) and then a rolling 12 months worth of data (-13).

If you wanted to include data from this month, you would change the dates to (0) to (-13).

12. Work Orders and Tasks that are Canceled do NOT normally count in your metrics.  You can see that they have been removed from the selection.

Depending on how the Work Order was canceled, it may or may not go against your compliance and completion numbers.  You might want to go to the portal to see which PMs have been canceled if the numbers in Power BI aren't matching up.

  • You do NOT have to be in Edit mode to make a change to the filters.
  • Keep in mind if you do not want to save your changes, just click the reset to default in the header.
