1.2 What are the Power BI License Types and what kind do I need?

As of 7/1/2020, ATS switched from the standard licensing agreement for Power BI to Power BI Premium. In simplest terms, that means that we have two types of licenses that will be issued:  

Consumer Licenses:  This type of license will fit the majority of our user's needs.  This is what we will cover in this doc.

Power BI Pro Licenses:  This type is for advanced users -- People who not only modify reports, but need to be able to create and distribute content to others.  There are very few people who actually need a pro license.  

  • If you are someone who needs to create reports that need to be shared with others, please contact FMS Systems Support to see if you need a Professional license.

Consumer License

As the majority of sites will be working under a consumer license, let's cover what that will look like.

1. First of all, you must still request access. This is done through a MyE request.  You will ask for a consumer license, and ask to be added to the Site Group.  

1.1. If you are in a management role for the site, you might want to request owner/admin access for the site workgroup as well.  

  • With advanced privileges, you can add people to your workspace.  
  • You will NOT be able to edit reports with Admin credentials.  This is because of the layout of the new reporting structure.  Any changes should be done by the FMS System Support Team, so that your base report is not messed up.

2. You will also need to call the help desk and get Power BI Pro Tiles installed.  This is the add-on for PowerPoint that allows you to create your monthly metrics deck.  

3. If you are working with the Consumer license, the main difference you will notice is where you go to access the data.

3.1. All content is accessed from the "Shared with Me" menu.

3.2. You might think that you can just click on the Copy icon and choose Save a Copy. That is actually not correct.  

You are not allowed to Copy and Save with the Consumer license because the structure is navigated through "bookmarks".  If you accidentally save your report with the wrong bookmark in place, the navigation will not work as expected.

3.3. You will receive a message saying you have to upgrade to Power BI Pro.  Click Cancel.
