10.7 How Do I Set Up Email Alerts in Power BI?

1. Log in to Power BI and click on the "Shared with me" section on the left column.

2. Find the report where you'd like to set up the alert. In this case we are going to use  "Work Execution Management (WEM) Landing Page" as an example. Click on it (you can use the search feature to type the name of the report).

You must have access to the Work Execution Management dashboard and should be able to see the landing page in there, if you do not, please contact Zac Callis, [email protected].

3. Once you are on the WEM Landing Page, you will see 2 cards at the bottom with a task count: Tasks that will be due in the next two days, and PMs past due.

If you are seeing more than one site in the results, this is due to your access. Simply expand the filters and make the necessary changes to adjust the site.

If you see the report blank don't worry, that means you currently don't have any PM's past due or that will be due in the next 2 days.

4. Hover over each one of the cards, look for the 3 dots (...) on the right upper corner and click on it.

5. Select “Manage alerts.”

One of the most important settings on this alert is the Condition parameters, this is set to Above 0 , which means anytime there is 1 or more PM task soon to be due ( or past due) it will trigger the alert and send an email.

Be sure to include the check box on "Send me email, too" or your notification will only show up in Power BI.

Remember to also set up the alert on the Regulatory PM Past Due visual on the WEM Landing Page, by repeating steps 4 through 6

Things to remember:

You have to set up the alerts on each card.

If you click on any of the cards, they will take you to a report with details of the Regulatory PMs due in two days and the ones that are past due.

If you see the report blank, it doesn't mean the report is not working, it means you currently don't have PMs soon to be due or Past Due and you can still set up the alerts.

You don't have to wait to get an alert to take a look at the report, you may access it through “Shared with me,” or by clicking on the visuals on your “Regulatory PM Alert” dashboard.

Turning Off, Editing or Deleting an Alert

If the time comes and a user wants to temporarily turn off, edit or even delete a current alert it can be done from the WEM home page.

1. From the home page select the Settings icon.

2. Select Settings.

3. Now pick the Alerts tab. This will display any alerts the user has set up.

4. Here users will have the option to turn OFF the alert, EDIT the alert or Delete the alert.

5. If the user wishes to Edit the alert they will see this to make any edits to their alerts. Select Save and Close after making any edits.

6. If the user selects Delete they will get a pop up to confirm deletion.
