1.9 How do I use Cross Filtering in Power BI?

Steps in the screenshots correspond to the numbers in the headings.

There is Cross-Filtering Functionality built into Power BI.

You do NOT have to be in Edit Mode for cross filtering to work.

1. In the example below, we are in the PM/PdM Completion Report.  

2. The Stat Card shows that in the month of June, there were 4 PMs not completed.

3. Click on the bar for June. The other visualizations on the page automatically filter.

4. Now you can use the drill-down filters to get into the information even more.

5. The single arrow turns on the drill-down capabilities for whatever chart you are working with.  In the screenshots below, I have clicked on the single arrow that turned on drill down, then clicked on the red bar that shows 50%.  The screenshot below shows the Work Order IDs for the PM completed and not completed.

6. If you choose the double arrows that are not connected, you will see the Work Order IDs in the entire view... not just for a singular piece of equipment as was displayed above.

7. If you choose the double arrows that are joined at the top, the drill-down will show you both the Asset ID and the Work Order number.  As is true in this case, because of width available for the label, and the length of the Asset IDs, you may not be able to see both on the screen.

8. A number of options are available from clicking on the three dots at the top of each visualization (chart.)

9. One option is to Export Data.  You have two options:  Summarized Data or Underlying Data.

The majority of time you will want the Underlying data, so you can get to the details driving the stats.

10. Once you click Export, a message appears telling you that you can continue to use the program.

It can be time consuming to export the data - depending on the size of the original data source.

11. A much quicker way is just to use the "show data" option.   All the missed PMs will be displayed in a lower panel.

12. You also have the option to sort in ascending or descending format.

13. You can also sort by criteria based on the chart results.  For example, if we are looking at the chart that is displaying the Asset ID and the percentage completion, those are the options for the Sort.

14. The Screen icon takes the chart full screen.  This is called focus mode.

There are so many things you can do with the filters in Power BI.  The cross filtering and drill downs really give you a quick and easy way to dig into the data to see what is driving your metrics.   If you get overwhelmed, you can always click the "Reset to Default" link in the top menu bar, or simply don't save your work.
