8.15 How can I find out how many FM Tasks were created and/or completed last month?

1. As always, we are going to access the FMS Metrics Reports from the Shared with me Option.  This is how anyone with a Consumer license will use the report.

Most of you will select your Site Workspace after this point, and then choose the FMS Metrics Report.

2. From the FMS Metrics Reports Homepage, click on the lower right tile to see the FM Work Reports.

3. There are two options shown:  Created and Completed.

4. Click on Created.

5. This will take you to a page with data around your FM Tasks for the last two months.  

5.1. The first panel shows you the details on the information presented on the rest of the tiles.  This is a great resource if you want to follow up on statuses.  

Hover over the top of the panel, and using the icons shown in #5.6, you can export this panel to excel if desired.

5.2. This panel shows the number of FM Tasks created yesterday.

5.3. The number of FM Tasks created this month is shown in the 3rd panel.

5.4. The number of FM Tasks created last month is shown on the top left.

5.5. The bottom panel gives you a graph with the number of FM Tasks created by day for the last two months.  

5.6. We have highlighted the tools that are available for you when you hover at the top of each panel.

You have the option to Copy, Access the Filters, put in Focus Mode, Add a Comment, Export Data, Change the Sort order and more.

On the right hand side of the screen, you will see the filter panel.  You shouldn't need to change the filters, but if you do, that is where you do it.  Here is how the filters are originally set up.

  • Date Range for Task Created Date = shows the dates for the last 2 Months.
  • Task Type = FM
  • WO Type = MPRO
  • Region = All
  • Status = All
  • Operating Status = All
  • Relative Day/Week/Month Offset will all be blank.
  • Site Valid to 12/31/999 (ensures only active sites are selected)
  • Site is (your site number)
  • Sublocation is All
  • Task status is not Canceled
  • Work Order status is not Canceled

6. If you accidentally mess up the filters, click the reset to default button.

7. To return to the FM Report Homepage, click on the curved arrow.

8. The second report option shows FM Work Completed.

9. The layout of the screen is exactly the same as the Created option, however you will see some different data, because this is focusing on Completion, not creation.

10. For example, the first task on the upper right panel would not have been included on the Created Report.  It was actually created more than two months ago.  It was COMPLETED within our date range, which is why it is visible here.

Effective management of FM tasks is one of the best way to increase your proactive numbers on the Balanced Scorecard.

As a best practice, you should have Job Plans that you can assign to FM work.  That way we get better at planning, our technicians have the ability to provide feedback, and we continuously improve on our processes.
