4.1 How can I add individual site goals to my charts in Power BI?

Steps in the screen shots correspond to the numbers in the headings.

You must be VPN'd In before opening this spreadsheet!

The Goal Management Tool and spreadsheet is available for you to customize and display site-specific goal lines on your Power BI Metric Charts. Goals are set by the Customer and the ABM working together with the Site Manager, and then entered into the Goal Management Tool by the Site Management Personnel.

There is no need to add a site specific goal to EVERY goal in BI -- Realistically you may only add a handful that are the most important to your customer.  Some are based on percentages (like Availability or PM Compliance) and others are based on numbers (like cost savings, etc) The non-ratio based measures  failure count and backlog hours are by default a monthly goal. If any other period goal is needed that will need to be a different goal recipe.

1. Input your goals

1.1. Open the GoalManagementTool.xlsm spreadsheet from wherever you've saved the downloaded file.

1.2. Enable the content and the Macros.

1.4. The sites that you have access to are visible under the My Hierarchy Item Tab.

1.5. All the available fields populate for the site(s) available in the "MY Goals" tab.

1.5.1. Each Chart Name directly corresponds to a chart in Power BI.  

Again, there is no need to enter a goal for EVERY line.  Only enter goals for the charts that are most important to you.

1.5.2. The Start Date is the Date that the goal is supposed to go into effect.  You can go back one year in the past, or up to two years in the future.

  • Once you start entering information in any of these cells, the required cells turn to RED indicating that you must have information in those fields (#2, 3, 4 & 5).
  • The Cell in the column"Has Changed" (#8) is highlighted in yellow and marked "True" to alert you that the goal is different than it was when the spreadsheet was when it was opened.

1.5.3. The End Date has the same date range options.  

This allows you to set Step goals or Stretch goals at a set interval if desired.  As an example, If you are struggling on a KPI, your ABM may choose to raise your goal in that area by a certain percentage every three months -- and set Action items to help you achieve that goal.

1.5.4. Start Goal is the Goal percentage for your site.

1.5.5. The End Goal can be the same or greater, depending on the purpose of the goal (i.e. improvement, forecasting, tracking, goal setting, etc.)

You must hit the SAVE in the spreadsheet at this point.  You cannot just hit CTRL +S -- It must be the Save hyperlink in the spreadsheet.  This will sync the information in the cloud, and enable the info to show on your Power BI charts the following day.

1.5.6. The person who made the update will be automatically tracked in the "Updated by" column once you hit SAVE.

1.5.7. The Date and Time will automatically update in the Updated On column.  

A Confirmation message will appear.  Click OK.  

1.5.8. Has Changed stays highlighted in yellow and says TRUE until you hit save, at which time it returns to FALSE.

1.6. If you need to modify a goal that has been previously entered, click on the field you want to change.  

  • In our example we have changed the End Date and the End Goal.
  • Notice that the Has Changed field is once again highlighted and says "TRUE"
  • Click SAVE to apply.

1.7. If you do NOT want to change the goal, and wish to leave it as previously entered, simply change the TRUE drop-down back to FALSE and SAVE.

  • As you know, the Power BI Server runs overnight, so any changes you make to the Goal Management Tool will not show up until the next day on your charts.  
  • Please ensure that you make any changes well in advance of your Metrics Presentation to the Customer to ensure your charts look the way you want.

1.8. The far right column is a labeled History.  

1.10. The last "Valid To" field will always show hash marks as it is currently active.

1.11. If you've made a mistake and need to start over or delete a line, Click Delete next to the Row you're working with to delete the information and start over.

1.12. You will be asked to confirm the deletion.

1.13. Confirmation by entering your user id provides added security to ensure a goal was not deleted in error

1.14. Once a goal is deleted, it is not removed from history.  It is merely removed off the spreadsheet.
