10.10 How Do I Set Up Subscriptions In Reports, Dashboards, Or Apps In Power BI?

Create a subscription that will sent an email on a set schedule with a link to a report, dashboard, or app, and a snapshot of it.

1. Open the report, dashboard, or app you would like to be sent a subscription email from.

3. Click on Subscribe.

4. Click on +Add new subscription.

5. Add or Edit the following information:

5.1. If needed, edit the subscription title.

5.2. Enter your email address.

5.3. Type a Subject for the subscription email to be sent.

5.4. Type a message if desired.

5.5. Make sure the page you'd like to see in the subscription email is selected.

5.6. Set the frequency in which the subscription email will be sent.

The frequency can be:

  • After data refresh (once daily)
  • Hourly
  • Daily
  • Weekly
  • Monthly

Select weekly if you would like to receive the email subscription more than once a week but not daily or only on weekdays, this way you'll be able to select specific days of the week.

5.7. Set the Scheduled time by selecting the hour, minute, day period, and time zone.

5.8. Set a Start Date and End Date if needed.

5.9. Check the desired options in the "Also Include" section.

You will always want to check "Link to report in Power BI" so that the subscription email includes a link, and "Preview image" so the subscription email body contains a picture of the report.

5.10. Click on "Save and close" to start receiving the subscription email.

6. When you click again on "Subscribe" your subscription to the page will be listed.

6.1. Click on the chevron next to the name to edit the settings.

6.2. Click on the garbage can icon to delete a subscription

7. Another way to manage subscriptions is through your Power BI settings

7.1. Once in settings, click on Subscriptions.

7.2. All the subscriptions created with your user will be listed there.

7.3. Hover over the subscription to get the pencil icon and click on it to open the subscription window.

7.4. Use the Search option to find a subscription easier when you have several listed.
