5.19 What are some suggested searches to save for SCS to make my job easier? (Logistics Manager, PO GNS Receiving, etc.)

Steps in the screenshots correspond to the numbers in the headings.

As we previously mentioned, customizing searches and screen settings can make your job much easier! In the previous document, we covered the searches for Reqs and POs.  In this document, we will cover the PO GNS Receiving, Part Need Search and the  Logistics Manager.

Remember that these are specific to your log-in at your computer.  If you switch between multiple computers, you will need to log in and set them up at each of the computers

PO GNS Receipt

This is an important one to do!  If not, you run the risk of going into some other sites POs, or going into a parts PO and trying to receive it as GNS.  Neither would be good.

1. From the Main Menu, go to Inventory > Purchasing > PO GNS Receipt

2. Expand the red chevron in the search criteria.

3. Under the General Tab, enter your ST# in the Ship To Place field.

4. Under Status, hold down the shift key and choose Posted and Received Partial from the drop-down.  The field will show (Multiple Selections.)

5. Under the Approval Status, click Approved.

6. Click on the Groupings tab.

7. Click on the drop down arrow next to Type.

8. Holding down the shift key, click on Supply and Service through Order.

9. Click on the arrow next to the green magnifying glass.

10. Choose Save As from the menu.

11. Enter a title:  Your 4-digit site number, followed by GNS to Receive.

12. DO NOT MAKE PUBLIC!  

This search is customized to your site so it is not beneficial for other sites.

13. You want this to appear as your default view, so you choose Set as Default.

14. Click OK.

15. The search will now show in your drop-down.

While you are still on this screen, let's customize the lower tabs.

With Services GNS POs for things like Vendor BIN Stock, you could end up with lots of receipts.  It is a good idea to make sure that you can see all of your receipt entries without having to move from screen to screen.

You can do this on any screen but it is especially helpful here.  This will allow you to scroll down on one screen to see all of your receipts, vs. having to use the play and fast forward buttons to move through screens.

16. RIGHT-CLICK on the Transaction date field. You must make sure your cursor is right on the field itself.

17. Choose Set Page Size.

18. Then choose All.

19. Go to the System Search in the upper right corner and type Save.

20. Choose Save Screen Settings from the Options.

21. Click Yes to confirm that you want to keep the settings.

22. A confirmation message appears.

Part Need Search

The Part Need Screen is an incredibly useful screen.  Primarily you will use it to see what parts are on work orders, what has been allocated and back ordered.  You can see the need by date and customer promised by date at a glance, and so much more.  

This is also the screen where you can allocate and change the allocation of parts.  

You may find that you want to customize other searches after you have played around with it, but this search will help you get started.

24. Expand the red chevron at the top of the page.  

It is really important that you use a customized search in this screen, as, depending on your access, the data can be confusing.

At a bare minimum, you would want to set up a search like this

25. Enter your ST# in the Place ID From

26. Enter the location in the Location FROM

27. Enter the SAME ST# in the Place ID To

28. Enter the SAME Location in the Location TO

If your site uses both ATS and Customer you would have to set up this search twice, you CANNOT set up the search as From ATS to Customer or vice Verse

29. Choose Entered as the Part Need Status.

30. Toggle through the options in the Usable checkbox until it is Checked.

31. Click the Green Show Button.

32. Click Save As.

33. Enter your title.

34. DO NOT MAKE PUBLIC.

35. If you primarily have one location, you can set it as the default.  This can also be set later by clicking on the arrow next to the name in the list.

36. Click OK.

Other options for searches:

  • Part Need Status = Canceled - Have you communicated with your buyer that the part is no longer needed?
  • Quantity Backordered >=1 .  Confirm there are customer promised dates
  • Created date = today

Logistics Manager

All of the searches/templates in the Logistics Manager are set up exactly the same.  We will walk you through a couple different ones, and then you just follow this pattern to create whichever searches you will use the most.

37. From the Main Menu, go to Inventory > Logistics > Logistics Manager.

One template that will be helpful is the Refill to Targets.  You might use this if you have a hot req that is needs to be released.

38. Click on Refill to Targets in the left hand menu.

39. Enter your ST number in the To Place.

40. Enter the desired location in the Location field.

41. Click on the green template button.

42. Choose Save As.

43. Enter your title.

44. Don't Make Public.

45. Click Save.

46. To select, just click on the template button, and choose the saved option from the drop-down.  Click Select and then the Submit button to run.

Finally, you might want to set up a "Transfer" template that already has your place id and location entered, so all you have to enter is the part number, quantity and bin numbers.  It doesn't seem like it would save you a lot of time, but it will.

Anytime you can customize a search or a template to bypass having to enter your ST number each time, it will save you lots of time.

47. Click on Miscellaneous Adjustment under the Logistics Manager Menu.

48. Choose Transfer as the Adjustment Reason.

49. Enter your ST# in the From Place.

50. Enter the Location.

51. Enter your ST# in the To Place.

52. Enter the same location you chose in the From Location in the To Location field.

53. Click on the Template Button.

54. Choose Save As.

55. Enter your title.

56. DON'T MAKE PUBLIC.

57. Click Save.

58. Don't be afraid to create Templates.  As long as you created it, you can delete it.

59. Here is why you do NOT want to make Templates public.

This template has been customized for a specific site, but it is showing on everyone's client.  No one can delete it but the site who created it.
