1.5 How do I know what date to enter for the Count Cutoff Date?

There are many documents that will give you specific instructions on how to perform each transaction.

Cycle Counts are performed on a random sample of your stock on a specified staggered period (weekly or monthly).

1. If your site has both ATS and Customer-Owned merchandise, these stock counts should be performed separately.

2. Cycle Counts in eFACTORYPRO trigger off two fields on the Stock Record in the system: the Cycle Count Period (which by default is set at 365 days) and the Last Counted Date.

This can be found in the CLIENT by going from the Main Menu to Inventory > Stock.  

2.1. Stock is originally loaded with staggered "last counted dates" when you go live. For example, if you had 5200 parts in your inventory, the Supply Chain Support Team would load 100 parts with a Last Counted Date spread out from a year from your go-live.

If you kept up to date on your cycle counts, in this example, you would count 100 parts a week on a 5200-part inventory.

Each week you would just enter the next Saturday as the Count Cutoff Date.

To see a listing of the last counted date, please run the simple Inventory Status Report.

Only Cycle Counts use a Count Cutoff Date.  

  • If you receive an error message "No data qualifies for count" and you have been counting on a regular basis, please check with the Supply Chain Support Team to see if you have a Stock Count still open or if they can see an additional issue.
  • If you fall behind on your cycle counts, please contact your Supply Chain Support Team Member to determine the best Count Cutoff Date.  
    • You may have to backdate the Count Cutoff Date until you are able to get back on schedule.

5. Enter the following information.

5.1. Count Type = Cycle

5.2. Place ID = Ship To Address.

5.3. Location = ATS or Customer

5.4. Count Cutoff Date: Should be the regular interval from the last count (e.g. one week/month from the last count)

5.5. Sort Order: Choose Bin

5.6. Click SAVE.

Physicals

1. Physical Inventories are primarily done once a year and count every piece of on-hand stock at your site.

2. Unless your contract specifies otherwise, we usually do not perform a Physical Inventory on Customer-owned stock -- it is counted through Cycle Counts.

See screenshot below for generating a Physical Inventory.  No Count Cutoff Date is entered.

  • You will want to complete and close all previous counts before starting a new one.
  • The system does NOT keep detailed records for stock counts, so it is the Site's responsibility to Export and save all documents to a file for future reference.
