8.5 SBS - How do I run the Billable PO Report?

Step by Step Instructions

1. Go to the ATS Reporting Server:

2. Choose Billable POs from the list.

You may need to open the ATS_FMS_Reports folder first if you have not made this report one of your favorites.

There are three reports that have "Billable" in the title:

  • Billable Invoices - Used by Accounting
  • Billable POs - This is the one you use.
  • Billable POs (All) - Also used by Accounting

3. Enter the beginning of the prior month in the Receiving Date From field. Click the calendar to select the date from the calendar.

5. Leave the checkmark in "Null" for the PO Number field to see all POs.

6. Enter your four-digit site number.

7. Enter the Markup Percentage from your contract.

8. Enter your Tax Percentage.

9. The report defaults to Billable = Y.

10. By default, the report defaults to the Simple View.

  • The Simple View is used by the Sites.  
  • The Purchasing and Accounting Groups may use the other view when researching a Purchase order.

11. Press the View Report button on the far right.

12. A message tells you that the report is processing.

13. You will know that the report is loading properly when the bar below the report criteria appears.

  • If you do not see the bar after 1 minute, hit Cancel and View Report again.
  • If it is a very large report or your site has very slow internet connectivity, you may want to wait as long as 5 minutes.

14. If you want to Export the file, click the floppy disc icon and choose the file format.

Fields include:

  • Site
  • Billable Y/N
  • PO Number
  • PO Line
  • Receipt Date
  • PO Post Date
  • Place ID
  • Work Order
  • Sublocation
  • Part/GNS ID
  • Part Description
  • MFG Part Number
  • Site Reference Number (Usually used for Customer's Part Number)
  • Asset Id
  • Unit Cost
  • QTY
  • UOM
  • Extended Cost
  • Transaction Fee
  • Tax
  • Currency
  • Billable Total
  • Requisitioner
  • SAP PO Number
  • Spend Category
  • Customer Account

P.s. you enter the parameters in the client, hit print, it takes you to the ssrs, you wait til you see the folders, go back to the client and hit print again, and the report will run.
