2.8 eFACTORYPRO Part Need Fulfillment Open Req/PO Status Management

  1. Escalation – New Part Needs Sourcing: These escalations are for Part Needs awaiting a valid Part ID to become a Part Requisition – Contact your Buyer to expedite if urgent.
  2. Open the Escalations page in the eFACTORYPRO Client (go to Service > Escalations in the main menu).
  3. Click the red chevron in the upper left search area.
    1. Escalation Status = Open & New (Multiple Selections)
      1. Hold shift key down while making selections from the list, releasing the shift key when finished so field will show "Multiple Selections". Note: check other statuses too if you don’t see a specific Part Need you are looking for.
    2. Status = Open & Hold/Review (Multiple Selections)
      1. Hold shift key down while making selections from the list, releasing the shift key when finished so field will show "Multiple Selections". Note: check other statuses too if you don’t see a specific Part Need you are looking for.
    3. Created =
      1. Leave blank to see all Escalations in any of the chosen Statuses.
      2. To see only Escalations beyond a certain date, enter >xx/xx/xxxx in the field named Created.
      3. To see only Escalations before a certain date, enter <xx/xx/xxxx in the field named Created.
    4. Type = New Part Needs Sourcing
    5. Place ID = your site’s ST000… #
    6. Leave all other fields blank.
    7. Press the green magnifying glass button to initiate search results.

It is recommended that you save frequently used eFACTORYPRO Client searches for convenience of future inquiries.  To do this, select the pull-down menu arrow in the green magnifying glass search icon and select SAVE AS from the menu list.  In the window that opens, enter a brief title name for the search you are saving – something that you can easily identify in the future.  Do Not select the Make Public box.  You can check the Default box if you want this search to always appear first when you open this specific page in the eFACTORYPRO Client.  Select the red OK button to save your search.  You will then see your newly saved search name listed in the pull-down menu of the green magnifying glass search icon for this eFACTORYPRO Client page.  It is characteristic of the system that when choosing a saved search from the search menu that no search criteria is visible in the different fields of the search area – instead everything appears blank. 

 

 

  1. Review & Release Requisitions for Purchasing: These Reqs. are awaiting review & release by SCS to Buyer.
  2. ** Users can utilize the preset, public search titled “Pending Release” - just be sure only your site’s unreleased reqs. are shown.
  3. To manually enter this search in the Requisition/POs page of the eFACTORYPRO Client located under menu option: Inventory\Purchasing\Purchase Order.
  4. Click the red chevron in the upper left search area.
  5. Enter:
    1. Ship To Place = your site’s ST000… # (Place ID)
    2. Status = Choose all except Canceled & Closed (Multiple Selections):
      1. Hold shift key down while making selections from the drop-down menu releasing the shift key when finished so field will show (Multiple Selections).
    3. Un-check Release box in this area (box should be clear/blank).
    4. Users should look at top Priority Reqs. first – Priority 1 & 2 (Emergency & Urgent):
      1. Open pull-down menu of field name Priority and hold shift key down while selecting Emergency & Urgent from the Priority list.
      2. Release the shift key and Priority field will show (Multiple Selections).
    5. Press the green magnifying search icon to initiate search.
    6. Review & Release Requisitions as needed.
    7. Next, look up remaining Priority Reqs. Normal, Low & Backlog (3,4 & 5):
      1. Open pull-down menu of field name Priority and hold shift key down while selecting Normal, Low & Backlog from the Priority list.
      2. Release the shift key and Priority field will show (Multiple Selections).
    8. Press the green magnifying search icon to initiate search.
    9. Review & Release Requisitions as needed.

  1. Released Requisition/POs awaiting review by buyer: (These Requisitions have been released by the site but have not yet been processed by the buyer – contact your Buyer to expedite if urgent)
  2. To manually enter this search in the Requisition/POs page of the eFACTORYPRO Client located under menu option, go to Inventory\Purchasing\Purchase Order.
  3. Click the red chevron in upper left search area.
  4. Enter:
    1. Ship To Place = your site’s ST000… # (Place ID).
    2. Status = Choose all except: Canceled, Closed, Received Full & Received Over (Multiple Selections):
      1. Hold shift key down while making selections from the drop-down menu, releasing the shift key when finished so field will show Multiple Selections.
    3. Make sure the box next to word Release has a check mark inside the box (not shaded or clear).
    4. Users should look at top Priority Reqs. first – Priority 1 & 2 (Emergency & Urgent):
      1. Open pull-down menu of field name Priority and hold shift key down while selecting Emergency & Urgent from the Priority list.
      2. Release the shift key and Priority field will show (Multiple Selections).
    5. On GROUPINGS tab of the search area, select Proposed in Workflow field from drop-down menu.
    6. Press the green magnifying search icon to initiate search.
    7. Users should then review Hot Requisitions by making sure the box next to the phrase Hot Requisition on the GROUPINGS tab has a checkmark inside the box (not shaded or clear).
      1. The Priority field on the tab named GENERAL should be blank for this search.
    8. After reviewing the Hot Requisitions, users should then review all other Requisitions by making sure the box next to the phrase Hot Requisition is clear (no checkmark & not shaded) on the GROUPINGS tab.
      1. The Priority field on the tab named GENERAL should be blank for this search.
    9. Next, look up remaining Priority Reqs: Normal, Low & Backlog (3,4 & 5).
      1. Open pull-down menu of field name Priority and hold shift key down while selecting Normal, Low & Backlog from the Priority list.
      2. Release the shift key and Priority field will show (Multiple Selections).
      3. Make sure the box next to the phrase Hot Requisition on the tab named GROUPINGS is shaded (not clear or checkmarked).
    10. Press the green magnifying search icon to initiate search.

 

  1. Requisition/POs where Workflow has changed from Proposed to Unconfirmed: These Requisitions are POs the Buyer has transmitted to the supplier and are awaiting PO confirmation from the supplier.
  2. To manually enter this search in the Requisition/POs page of the eFACTORYPRO Client, go to Inventory\Purchasing\Purchase Order from the main menu.
  3. Click the red chevron in the upper left search area.
  4. Enter:
    1. Ship To Place = your site’s ST000… # (Place ID).
    2. Status = Choose all except: Canceled, Closed, Received Full & Received Over (Multiple Selections):
      1. Hold shift key down while making selections from the drop-down menu, releasing the shift key when finished so field will show (Multiple Selections).
    3. Make sure the box next to word Release has a checkmark inside the box (not shaded or clear).

      1. The Priority field on the tab named GENERAL should be blank for this search.
    8. After reviewing the Hot Requisitions, users should then review all other Requisitions by making sure the box next to the phrase Hot Requisition is clear (no checkmark & not shaded) on the GROUPINGS tab.
      1. The Priority field on the tab named GENERAL should be blank for this search.

  1. PO is confirmed by Supplier, but due date does not meet the needs of the site:
  2. Use the PO Detail Report for your site. Go to File > Reports, as shown below, or access reports on server at https://ssrs.advancedtech.com/Reports/browse/
    1. Select Purchase Order Detail
    2. Posted From date = earliest possible date for open PO line items
    3. Posted To date = today’s date
    4. Enter four digits site number
    5. PO Status = Choose all except: Canceled, Closed, Received Full & Received Over (Multiple Selections):
      1. Hold shift key down while making selections from the drop-down menu, releasing the shift key when finished so field will show (Multiple Selections).
    6. Use this report to review part needs due dates for hot reqs. & special downtime jobs.

    8. Press the green magnifying search icon to initiate search.
