2.15 How do I complete a Requisition for a Part?

Steps in the screenshots correspond to the numbers in the headings.

Technicians will request parts on Tasks via the EFP Work Module. If the part is currently not in stock, and the stock record allows it, a Requisition for the Part is generated in the CLIENT for the Supply Chain Specialist to release.

1. Log into the CLIENT. From the main menu, click on Inventory > Purchasing > Purchase Order. A Requisitions/POs tab appears above the search field.

2. Expand the red chevron in the search field.

3. Under the General tab, enter your Ship To Place.

4. Use the drop-down arrows to select Proposed for Status and Pending for Approval Status.

5. Click on the Release box until it is clear (no shading or checkmark).

Using the settings described in steps 3-5 will show you the requisitions that are ready to be released for your site.

6. Click the Groupings tab.

7. Ensure the Hot Requisition box is shaded (not checked, not empty). This will pull information on both hot reqs and non-hot reqs.  A Hot Requisition is any Part Need marked as Emergency (Priority 1) or Urgent (Priority 2).

8. Click the green magnifying glass to pull the POs from your site.

If you want to save this search, click on the drop-down arrow, click Save As, and title it with your site number, followed by Part Reqs waiting to be released.  This is a better practice than using the Pending Release search, as that generic search will pull POs from all sites using eFACTORYPRO. Do NOT make the search public; this search is only for you to use.

9. The screen will populate with POs from your site only. Click on a PO from the left column to bring up details in the right panel.

Refill to Targets runs automatically at 15 minutes past the hour for the ATS location and 45 minutes past the hour for the Customer location.  This automated job is how pending requisitions are usually placed in your queue.  If you are waiting on a requisition and you don’t see it, you may want to run Refill to Targets manually from the Logistics Manager.

10. Review the following fields in the header and complete or change any required missing information (required fields are indicated by a red asterisk or red text). Do NOT check the Release box at this time.

Once the Release box is checked and SAVE is clicked, the Supply Chain Specialist CANNOT make any changes to the requisition. Do NOT check the Release box until everything has been reviewed and all needed changes have been made.

Ship To Place

PO Category: This field automatically populates with the PO Category from the PO Line.

The billable checkbox will default to whatever is in the place record.  You can check/un-check it if it needs to be something different.

The Supply Chain Specialist can keep the Supplier ID as "Unknown" if needed. The Buyer will add the supplier.

11. Click F11 to collapse the header. This will expand the bottom panel. Click on the Parts tab.

12. In the Parts line, review the following information for accuracy:  

Part ID

Location (indicates who owns the part)

Quantity

Unit Cost - Can be $.02 if you don't know the cost.

Customer Want by Date

Priority

PO Category

 

The Customer Want by Date is auto-populated from the Needed by Date from the Tech Portal. The Supply Chain Specialist can change this date prior to release, keeping in mind the following parameters:

  • For a Priority 3 or higher, the default date is the current day + 7 days of when the Part Need was created (Created Date).
  • In order to move the date UP (sooner), you must first change the Priority up to a 1 or 2.
  • If you try to move the date up without changing the Priority, you will get an error validation message when you Save.
  • Likewise, if the Tech communicates that the Part Need has changed from a 1 or 2 down to a 3 or below, the Supply Chain Specialist will have to MANUALLY change the Priority and the Customer Want by Date. The Customer Want by Date must be changed to at least 7 days out or an error message will generate upon saving.
  • Each time you change and save the Customer Want by Date, that date change is recorded in the Events tab.

14. After all information is completed and reviewed for accuracy, click F11 to restore the header. Check the Release box. IMPORTANT: Do NOT check the Release Box until AFTER you have reviewed all information for completeness and accuracy. Once the Release box is checked and saved, the requisition is sent to the Buyer and the Supply Chain Specialist can no longer make any changes.

15. Click Save.

A Parts Request through a Work Order should match the number needed to complete that Task. If additional parts are wanted for inventory, you must fill out a Stock Authorization Form to increase the Target Min/Max and follow that process.
