6.2 When would I use the Simple Inventory Status Report?

Updated on

Steps in the screenshots correspond to the numbers in the headings.

Most Sites run the Simple Inventory Status Report at least once a month at either the very end or the very beginning of the month.  This report gives you a snapshot of the value of your Inventory at a point in time and is one of the reports that is used in the calculation of your GEAC Month-end reporting.

The Simple Inventory Status Report contains all the information you need at a site level.  This is the report you should be running vs. the Inventory Status Report which is used by the Supply Chain Support and Purchasing Teams.

1. In the address bar of your browser, type this URL:   https://ssrs.advancedtech.com/Reports/

If you are having trouble accessing the report, you can do it by using the Internal ATS reporting server:  https://ssrs-internal.advancedtech.com/Reports.  You must be VPN'd in to access the internal server.

2. The SQL Server will load.  Click on the Browse tab if you don't have the Simple Inventory Status Report added to your Favorites Menu.

3. Click on the ATS FMS REPORTS folder.

4. Choose Simple Inventory Stat Report from the list of populated reports.

5. Enter the criteria to run the report.

The only Required Criteria is your four-digit site number.  If you leave everything else as is, the report will run for both locations, simple view = Yes and zero quantities suppressed.

6. Click View Report.

7. The Report loads.

8. Click on the floppy disk icon to export and choose the desired file format.

Report Fields include:

  1. Site
  2. Place ID
  3. Location (if you have inventory in ATS and Customer, it will break by location)
  4. Part ID
  5. ABC Indicator
  6. MFG Part Number
  7. Site Reference Number (Usually used for Customer's Part Number)
  8. Criticality Status (Critical: On the BOM of a critical 1 or 2 piece of equipment & failure will cause an EHS/Safety incident or serious loss to production.  Obsolete: Not associated to any active equipment at your site. Reviewed: On a BOM for an active piece of equipment at your site.)
  9. Material Description
  10. Extended Cost
  11. Unit Cost
  12. Quantity on Hand
  13. Min Stock Level
  14. Max Stock Level
  15. Manufacturer
  16. Material Group
  17. Alternate Part Number
  18. Cross Reference 1
  19. Cross Reference 2
  20. Storage Bin
  21. Refill Y/N

Suggested Uses for the Inventory Status Report other than month-end reporting:

This Report can be filtered to see the number of parts and which parts are in the Location or WORKORDER bin.

This Report can also be used to confirm that all parts have the Refill flag checked.

Remember, if the Refill flag is not checked, a requisition cannot be created.

If you are a single-location site (IE Customer parts only), it's a good idea to run the Simple Inventory Status Report wide open to see if stock has accidentally been received into the wrong location (such as the ATS location).
