4.9 How to investigate when the SCS doesn't get the request for a NEW PART from the Tech.

Steps in the screenshots correspond to the numbers in the headings.

There are many possible ways to troubleshoot this issue. Let's take them one at a time.

1. Go to Service > Task and bring up the Task number in question.

2. Click on the Part Needs tab.

3. Does the Part Need still say NEW PART vs. an ATS Part Number?

4. Does the Part Need have an ATS Part ID Number?

5. Scroll over to the right side. Does the Part Need Status say Entered?

If the Task still says NEW PART, please contact your Buyer to see when the request will be processed.

6. If the Part Need has been assigned an ATS Part ID and it says Completed without a checkbox in the Parts Used section or Canceled, the system will NOT generate a requisition.

In the example below, Line 3 (Sequence 72136) was a NEW PART Escalation that was completed incorrectly.  Notice that the Part Need is Completed but the Part Used checkbox is not checked.

7. In the case of a Canceled or Completed Part Need, re-enter the Part Need on a new line on the Task. A requisition will kick off once Refill to Targets runs.

Refill to Targets runs once an hour for each location.

  • The  ATS Location runs at 15 minutes past the hour.  
  • The Customer Location runs at 45 minutes past the hour.

8. If the Part Need on the Task still says Entered and the Escalation was completed earlier today or a day prior, go look at the stock record.

In the example below, Line sequence 72184 started out as a NEW PART request.  The Buyer has gone in and completed the request -- you know this because there is a valid part number on the Task.  It is now 11/7/2018 at 4 p.m., and a Requisition still has not kicked off for this part.

9. Go back and find the Escalation to see when it was approved/completed.

The ATS Part number was added to the Task almost five hours ago.  The system should have generated a Req by now.  

10. Go to the stock record to ensure that the refill flag is checked. Inventory > Stock > Enter the Part number and click the green magnifying glass.

If you see multiple results, be sure to choose the correct Site and Location.  

11. Look at the details of the stock record for reasons why you might not be receiving a requisition. In this case, the NEW PART was actually not really new, as it already existed in the ATS Part Database and, in fact, was in stock at the site.

12. Check to ensure that the Refill box has a checkmark. If it doesn't, you will never receive a requisition.

13. Notice that there is one On Hand and one Allocated.

14. Click on the 1 next to the Allocated to see the details.

In this case, you can see that this part is already allocated to your Work Order.  

If the Refill box is checked on the stock record and your Part Need Status says Entered, and you still don't have a req., always check the Quantities hyperlinks on the stock record to see if the Work Order shows anywhere in the Part Need section.  If you cannot see the Task/Work Order number anywhere, check that the Task/Work Order is not canceled.    Try adding a new Part Needs line again and see if that works.
