2.5 How do I create a Requisition to send out a Part to IPS for a Repair?

Steps in the screenshots correspond to the numbers in the headings.

Parts that are repairable will be marked in the header of the part record in eFACTORYPRO.

The Repair Supplier will also be noted, if there is one on record.  

All Part Repair requisitions must utilize the CORE REPAIR Category before releasing to Purchasing.  Buyers will block any repair requisition released by the site without selecting the proper PO Category: CORE REPAIR.

This procedure for Part Repairs in eFACTORYPRO is necessary to capture cost savings, repair part history, and tracking repetitive part failures on specific equipment.

Never combine New and Repair Part Requests on the Same Requisition!  These instructions should be used when sending a Part out for Repair.

1. From the main menu, go to Inventory > Purchasing > Purchase Order.

2. Choose New to create a new requisition, or click the blue hyperlink in the center of the page if nothing populates.

3. Enter all the requisition information as usual, except under the PO Category you MUST choose CORE REPAIR.

Don't forget to check the Billable checkbox if necessary.  See the green highlight in the screenshot below.

4. The repair requisition must also have a valid Part ID and cannot be entered under Goods & Services.  Click on the Part tab in the lower workspace.

5. Click New to add a Part line.

6. Enter the Part ID.

If no Part ID exists, utilize the NEW PART PROCESS or the SharePoint Stock Authorization Process.

7. Enter the Location.

8. Enter the Quantity.

9. Enter the Unit Cost.  This can be anything over .02 - as you haven't received the quote back at this time.

10. Use the drop-down arrow to select the Customer Want by Date. If the Priority is set at 3 - Normal or higher, the Customer Want by Date cannot be less than the current date + 7 days out. If you want the order sooner, you must first change the Priority, then you can move the date up.

The Customer Want by Date corresponds to the Needed by Date which the Tech enters in the Portal. Only the Supply Chain Specialist and Supply Chain Support can edit the Customer Want by Date. Each time you change the Customer Want by Date, the change is recorded in the Events tab.

11. Use the drop-down arrow to select the Priority. The default Priority is 3 - Normal.

12. Change the PO category to CORE REPAIR.

13. Return to the header, ensure that the Release checkbox is CLEAR and click Save.

You may want to add a note in the PO Text or internal comments noting when you sent out for the quote.

The requisition at this time is still waiting to be released as the Release checkbox in the upper right corner is still clear.

Once a Req has been released to the Buyer, the SCS cannot edit it, so it is important that you do not Release the requisition until all the information is complete.

14. Once you have a valid Repair Quote, update the requisition with the Supplier, Repair Cost and enter the Supplier's Quote #, etc., (for ATS IPS repairs, include the Job # and Barcode #) in the Internal Comments section.  You can then Release the requisition to Purchasing.

Attach your Repair Quote to the requisition by using the Attachments tab feature or email your Repair Quote to your Buyer.

15. Check the Release checkbox in the upper right corner and hit the Save button again or Control+S.
