1.19 How do I create a cycle count to check a bin or a specific part?

Steps in the screenshots correspond to the numbers in the headings.

It is important to remember that EFP does NOT keep any records of the stock count process, so it is your responsibility as an SCS to save a copy of all reports used during your stock count.  You may need to go back to these at some time in the future, and they are not stored in history in the system.

You have the ability to count just a bin or a part in addition to your regular cycle count schedule.  

An example of when this would be used could be if you have machine lubrication that needs to be done weekly, and therefore you want to count your Oil Shed to ensure the inventory is accurate.  This is easy to do.

1. From the main menu, go to Inventory > Logistics > Stock Count.

3. The stock count pop-up box comes up.  

3.1. For type, pick Cycle.

3.2. Enter your Ship To Place under the Place ID field.

3.3. Enter a location.

3.4. In this case, you do NOT have to enter a cut off date.

3.5. Choose Bin if you are going to be using Bin as the desired sort.  This can also be left blank.

3.6. Click on Bin in the Lower Tabs.

3.7. Click the NEW button.

3.8. Enter the bin ID you want to count.

3.9. Click Save.

4. A message will populate telling you that the stock count is generating.  It will give you the run number.

4.1. If there isn't enough data to qualify for a run, you will see that in a message as well

5. Go to the Run log.  (File > Run Log)

If you want to see everything that is associated with that stock count, you can enter the number in the Foreign Key #1 field under the ID tab. This will bring up your stock count run, stock count variance, post, etc.

6. Check the Run Log message to ensure that everything has run properly.

Confirm the number of records processed, that the description is blank, and that the status is Complete.

7. Go to the Stock Count screen (Inventory > Logistics > Stock Count) and enter the run log id.

8. Enter the count.  

Put your name and date in the header, then be sure that there is a quantity entered for each line in the usable field.

9. Save and then hit the Variance Button.

10. A message confirms the variance has begun.

11. Check the run log to ensure there are no  errors.  (File > Run Log > Enter the number in the Foreign Key Number 1 field and confirm the information.

12. There should be the same number of records as originally counted, the run log id should be the same, the status should be complete and there should be nothing in the description.  A blank description means there were no errors.

13. Run the Stock Count Variance Detail Report.

14. Investigate any differences, and run the Detailed Variance report again if changes are made.

15. It is a good idea to always run the Stock Count Variance Summary Report to see what the financial impact will be when posting the count.

16. Once you are satisfied with the amounts, post the count by hitting the POST button on the stock count screen.

ALWAYS CHECK THE RUN LOG TO SEE THAT THE POSTING WAS SUCCESSFUL!  You should confirm that the same number of records posted, that the status says complete, and that the description is blank.

17. Enter the date in the stock record under the  Spot Check Date.

Whether you want to count by part or count by bin, the process is the same.  In this article we showed you how to count by bin, but if you chose to do a part id, the count would generate with all the bin IDs for that part in the location that you specified.  

If your site has multiple locations (other than just ATS and Customer), you will need to run a separate cycle count for EACH location to ensure you have everything included.  You cannot combine locations in the stock count generation screen.

18. Start out with Inventory > Logistics > Stock Count.

19. Click New.

20. Choose "Cycle" as the Count type.

21. Enter your Place Id.

22. Enter the Location*.

23. In the lower tabs, click on the Parts Tab.

24. Click on the NEW Button.

25. Enter the part number.

26. Click Save.

*If this part is in multiple locations, you would repeat this step for each location.

27. A message will tell you either that the stock run has begun or that there is no data that qualifies for the run.  

Follow the rest of the procedures, being sure to save a copy of all the reports for your records.  When you are satisfied with the Variance, and post the final count, update the Spot Check Date in the Stock Record.
