Steps in the screenshots correspond to the numbers in the headings.
In eFACTORYPRO, the HOT REQ checkbox is flagged automatically whenever the Part Need priority is marked in the Portal as either 1) Emergency or 2) Urgent. A HOT REQ is also created anytime someone checks the Emergency Purchase Order box. This alerts the Purchasing Group that special attention is needed. The HOT REQ checkbox is Read Only and cannot be modified.
1. In the Portal, go to the Task.
You can do this from a number of different ways. Just make sure you are working at the TASK level, not the Work Order level.
2. Click on the Parts icon.
3. Click +PART NEED.
4. Choose the appropriate filters for your search.
If you cannot find it in BOM or My Site, always check with the Enterprise toggle selected.
5. Enter the Part ID and hit the magnifying glass.
6. Find the part and select it.
7. Enter a Quantity and select ADD TO TASK.
8. If the quantity on hand is zero, or if the quantity you are requesting is more than what you have in stock, a requisition will be generated for the SCS to release.
9. Change the Priority to either 1-Emergency or 2-Urgent if you want the requisition to be flagged as a HOT REQ.
The Need by Date defaults in to the current date + 7. If you mark this Part Need as either a Priority 1 or 2, you will need to MANUALLY change the Need by Date if you want it sooner.
10. Another option is to check the After Hours Emergency Request box.
This will require the user to enter a Supplier, optional Cost, and Notes.
11. Click CREATE NEED.
The After Hours Emergency Request box will immediately give the Technician a PO number so the part can be purchased after hours.
12. When Refill to Targets runs, the Supply Chain Specialist receives the requisition and the HOT REQ checkbox will be flagged for the Buyer.
Refill to Targets runs once an hour for each location.
- ATS runs at 15 minutes past the hour.
- Customer runs at 45 minutes past the hour.
The Buyer is able to run a report to see which requisitions have the HOT REQ flag. This notifies the Buyer which ones s/he needs to process first.
13. The same logic applies when creating a Requisition for Services. Choose either Priority 1, 2 or the After Hours Emergency Request toggle to create a HOT REQ.

14. Click SAVE.
15. The Req will be flagged as a HOT REQ by default. It is grayed out and cannot be changed.
The Supply Chain Specialist can raise the Part Priority before releasing to the Buyer. Moving the Priority up to 1 or 2 will automatically check the Hot Req button in the header. The Events will show if the Part Priority was changed.
