Steps in the screenshots correspond to the numbers in the headings.
Whether you are creating a Site-specific Job Plan (task template) or a Master Job Plan, the Step functionality in the Job Plan grid is simple and easy to use! It is designed for the planner to be able to navigate quickly and easily from one screen.
As a best practice, steps should be a requirement in any job plan. At a bare minimum, you will want to include: Pre-task analysis, Safety / LOTO, PM Instructions, Return to Service, and Process Improvement. For standard work instructions, like the ones just listed, there is pre-entered text. It IS possible to create a Job Plan with just one step -- but keep in mind if you try to assign that job plan to a Task without 2 or more steps, it will not count in your planned metric.
If no steps are on the Job Plan, you will see that message, and a button will be present to start the process.
There are 7 Columns that make up the Step screen.
1. The six dots at the front of the line serve as a "handle" allowing you to move step order up or down quickly and easily.
2. Step order automatically adjusts to the placement on the screen. If you add or delete a step, the order readjusts. No more having to go back and renumber everything up or down! This is a great enhancement!
3. Simply double click on the step name to enter the name. If you are using one of the pre-selected text fields, you will see the options in an alphabetical list.
4. Double click to add text, or if you have chosen text from the pre-set fields, it will default in.
5. Required Y/N defaults to Yes.
6. The three vertical dots allow you to delete a step.
7. And finally, there are three ways to add a step: Two +New Step buttons and one plus sign in a circle.
A. The + New Step above the current line will add a step above the line you are on.
B. The plus sign in a circle will add a new step right after the line you are working on, as will
C. The + New Step below the line.
Remember, you can easily drag a step to a different position by using the six dots at the beginning of the line.
8. Enter all the steps for your Job Plan.
- If you need to edit some of the text that you have entered, simply double click to go into the text box, and click to enter the edit mode.
- Make your changes and they will automatically be saved when you move to the next step.
If you are working in Internet Explorer, you must first click anywhere in the Step Grid before entering a new step. If you do not click in the grid first, your changes will not take effect.
9. Confirm that the information is correct, and if so, click the Save button.
Remember you can always come back and edit the steps at a later date if need be.
10. If you have missed something, the save button will be grayed out, and the reason for the error will be listed.
In the screenshot below, I added one more step at the end so you could see what that looks like. As the step was added in error, I can simply delete it by clicking on the three dots, which will remove the message and return the Save button.
11. A message tells you that the Job Plan is being created.
12. You will receive a confirmation message telling you that the Job plan has been successfully updated.
13. To return to the Job Plan Grid, click on the X in the upper right corner of the screen or use the button in the lower right of the screen.
Please read below for a Known Issue:
While editing the Step Name field, if you type a second hyphen or a hash symbol (#) and click any New Step button then the Step Name field is no longer able to be edited by double clicking it. Instead the text is highlighted. More confusing is after to double clicked and selected the Step Name text the next mouse click on any other step starts editing the step. This behavior is unexpected and will cause confusion and frustration, as it is happening in all browsers. It is also possible that it is happening with other character combinations.
Work Arounds:
There are two work arounds for this issue.
- Click outside the field to stop editing before clicking New Step. OR
- Click Save to save the job plan and the Step Text is able to be edited again. Note that all steps will have to have a Name and Text before the Save button will be enabled.
- We found that clicking outside of the Step Name field works every time regardless of the number of hyphens or the hash symbol.
