6.11 PLANNING WIZARD: How do I move Tasks to the Scheduling View from the Planning Wizard?

Updated on

As part of Work Execution Management, once a task has 2 or more steps, and has been given a duration and at least one skillset, it meets the minimum criteria to be considered a "planned" job.  At this point, you can use the Planning Wizard to move it to the next step in the process - weekly/period capacity on the Scheduling screens.

Steps in the screenshots correspond to the numbers in the headings.

1. Log into the Planner Portal.

2. Select the Planner Scheduler Role from the Main Menu in the portal.

3. Ensure you are on the task screen.

4. The far right column shows whether or not the Task has met the initial criteria for being "Planned".  This means it has more than one step, it has a duration and at least one skillset.

5. You will see a circle with a checkmark for any task that meets the criteria.

In this case, the numbers we are going to move over are 623115 and 623269.

6. These tasks can easily be moved to the next step of the process by using the planning wizard.  Click the checkbox in front of the task numbers you wish to move.

7. Click the Mark Planned icon.  You will find this next to the Magic Wand, just under the Filter icon.

9. A message will confirm that the transaction processed correctly.  Click OK to continue.  This will return you to the Task screen.

10. Click on Scheduling.

Notice that the two Tasks are in the to be scheduled view.

11. By default, the screen will load to Period Capacity for the following week with the Ready Backlog View Loaded.

12. If you have Overdue Tasks that need to be rescheduled because they were not completed or reviewed, you will see a banner at the top of the page.

13. According to WEM standards, the current week should already be scheduled with all skillsets at 100%.

For the purpose of this example, let's look at the numbers:

13.1. Overall Progress is 14%

13.2. Associate Technicians are greatly underscheduled - 8%

13.3. Specialists and Tech Is are underscheduled at 1% and 20%.

13.4. This site has a Sr. Tech that's scheduled for 9 out of 120 hours of Senior Tech work.

13.5. Tech II is scheduled to about 1/4 of their capacity.

Remember, you can always assign a different  skillset to work that originally required if there is no one around to do the work.

14. Click the checkmark in front of the two tasks.

15. The Schedule button becomes Active.

16. Notice that, because these are both for the Tech I skillset, it shows that you are adding one hour to the work.

17. When you click the Schedule button a message appears asking you to confirm that you want to move these to a Ready for Execution Status.

18. Click Yes.

19. A message confirms that these tasks have processed successfully.  Click OK.

20. Click on Daily Capacity.

Daily Capacity, by default, will load in the current week (so that you can schedule Break-in (Priority 1 & 2 Work.)  Adjust the view to the proper week.

21. To schedule the Task, simply find and click the tile, and click the Assign button to move it to the person with the appropriate skillset.

22. A confirmation message tells you that the Task has been scheduled properly.

23. The hours for that technician begin to build for that day.
