2.21 What do I need to understand about PM Metrics?

It is always a good idea to stay on top of your data!!!  If you update data older than 4 months, you will not see the changes until the following Monday.  (It refreshes Sunday overnight.)  If your data is older than 13 months, it may not be worth updating.  The changes will not show up until the second day of the next month.

There are certain terms associated with the metrics (or what we measure) in regards to PMs.  Lets go over them so that everyone has the same base understanding.

COMPLIANCE

1. The first is Compliance.  Every PM has a Compliance Window – consisting of a Compliance Start and a Compliance Finish.  Generally speaking, the length of the Compliance Window increases as the time between the PM increases.  In other words, you will have a bigger Compliance Window for a Quarterly PM than you will for a Monthly, and a bigger window for a Monthly than you will for a Weekly.  The reasoning for this is, obviously, the Quarterly PM is usually going to be more in-depth and require more steps than the Monthly or Weekly, so therefore you will need a longer window to complete the work.

2. A list of the Compliance Window time frames for each PM schedule Rule (or Frequency) is listed on the WIKI, but as a basic rule of thumb, it is 20% of the date range being covered. So a month, or 30 days, has roughly 20% or 6 days for a compliance window.

3. The longest window for ANY Schedule Rule is 28 days, for Semi-Annual and above, and the shortest is one day, for Daily.

4. The PM Generator is the job in eFACTORYPRO that kicks off the PM Work Orders and Tasks.  It runs every weeknight and will populate PMs 28 days out in advance of the Compliance START date.  This gives the site a full 4 weeks to properly plan for the job.  By default, the Scheduled Start Date is the same as the Compliance Start Date. The Planned Start Date can be changed when you schedule the Task in the Planner Portal.

5. It IS NOT possible to START a PM BEFORE the Compliance Start Date and still be in Compliance. The last labor stamp must fall in the COMPLIANCE WINDOW for the PM to be considered Compliant.

  • Any MPRO Work Orders/Tasks that have been Canceled will be counted as NON-COMPLIANT.
  • If, it is truly a duplicate, you should Cancel the Work Order with a Sub-Status of Duplicate.  Any PMs that are Canceled / Duplicate will not count against the Site's Compliance Metrics.

COMPLETION

6. Completion is another metric that is associated with PM.  Note for PM compliance: The PM CANNOT be started BEFORE the Compliance Start Date and MUST have the last labor stamp on or before the Compliance Finish Date in order to be compliant. It has nothing to do with whether or not the PM work actually happened.  A PM is considered Complete if the work is done before the last day of the month of the Compliance Finish Date.  It's easier to look at an example.  This PM has a Compliance Window of 8/17/18 to 8/29/18, so it must be finished by 8/31/2018 to be Complete.  

7. PM's CANNOT be started BEFORE the Compliance Start Date and MUST have the last labor stamp on or before the Compliance Finish Date in order to be compliant.If any the Labor Stamps are entered BEFORE or AFTER the COMPLIANCE window, the PM will be Non-Compliant and the user will have to enter a Reason for Variance.

PROACTIVE HOURS FOR BALANCED SCORECARD

8. ATS follows SMRP guidelines for Proactive Maintenance.  SMRP is the Society for Maintenance and Reliability Professionals - and they are the Professional Standards Board for our industry.  By their definition, the only work that is considered Proactive is anything that was originally marked as a MPRO:  This includes PM (Preventative Maintenance), PdM (Predictive Maintenance) and FM (Follow up Maintenance Work) that is added to PM or PdM Tasks.

8.1. This Metric is Measured in Power BI in the FMS Balanced Scorecard App.  The GOAL is a minimum of 35%.  In the example below, this Site is running at 34.2%.

One easy way to increase their Proactive Number and have it affect their Balanced Scorecard is to add Follow-Up Tasks onto PMs.   Not only does adding a follow-up task to a PM boost your PM/PdM numbers on the Balanced Scorecard, there are no compliance or completion dates associated to the work.

Don't forget to use Follow-Up Tasks after your Predictive Work!  Even if your original PdM work order generated for a Sub-location, you can add FM tasks in the Portal to any number of different machines in that sub-location off the original Work Order.

9. On the other hand, the Sites have the option to mark work with a Proactive Toggle in the Portal.

OPERATOR PERFORMED PMS

If your site utilizes Operator Performed PMs and a Customer Team, then those PMs will be removed from your metrics.  The Non-ATS Team must be marked with the External Team checkbox.  There is no limit to the number of Site Teams that can use the External Team Checkbox.

Once the Team has been created, the Planner/Scheduler can check/uncheck the box as necessary to modify the team.

You will also want to modify the Task Template to be sure that the Team reflects an external team and that the Operator Performed checkbox is checked.
