5.5 What do I need to understand about the Work Schedule functionality in the Control Center?

The Work Schedule functionality in the Control Center allows you to modify the existing schedules that have been entered in Workday for the Scheduling Period.  

This will be especially beneficial for when a Technician calls off for the day or when you have to call in extra people for Project work on the weekend.

It also will allow the sites that do not use Workday as a timekeeping system (UK and MX) to enter time and use the Scheduling functionality of the Planner Portal.,

It is very important that you understand what this functionality does and does NOT do, so that your metrics and Technician's time-sheets are correct.

1. You must have Supervisor permissions to access this screen.  Go to Control Center > Work Schedule.

2. There must be a scheduling period created for the time you are trying to modify.  The first step is to select the proper scheduling period that contains the date you are trying to modify.

  • Most sites use a week-long scheduling period, but this can vary based on the site's needs.
  • You cannot adjust schedules in the past.
  • Workday typically loads schedules 4 weeks in advance.

3. Highlight the name of the Tech whose schedule you want to change.  Their Workday schedule for that period will load.  

4. Slide the OVERRIDE button to the right.

5. If the person is not working for the day, simply uncheck the "WORKING" checkbox.

6. If their hours have changed, make the changes, to the hours listed on that day.

  • It is not necessary to put in a lunch break.
  • If you are going to use just one set of boxes to enter the information, you must use the top set of boxes.
  • Time must be rounded to the nearest 15 minute increment.

7. If you are adding a day, click the 'WORKING' checkbox and enter hours.  

8. Once you have finished, click SAVE at the bottom right of the screen.

A confirmation message will tell you that your schedule overrides have been successfully saved.

9. Go to the Daily Scheduling View for that week

Planner Scheduler > Scheduling > Daily Capacity > Go to the Week > Go to that Tech

10. The changes to the schedule will be displayed on the chart.

It is important to remember that NOTHING has changed in Workday.  The only thing that this process has done has modified it for your scheduling metrics.  To ensure your Tech Utilization and paychecks are correct, it's important that you follow the usual process for time off changes in Workday (if applicable).

It is possible to copy from one scheduling period to another, but only if you select All Techs or do it by a Team.

Many sites have teams broken down into 0493-1st Shift, 0493-2nd Shift, etc. which would make it very easy to change and copy the changes to all technicians on the shift.
