10.4 Overview of the Task Tiles in the Daily Capacity view

In the Daily Capacity view to the left will be a list of Tasks that are scheduled for the selected time period.

This is an UNASSIGNED task tile:

1. Task ID

2. Asset ID

3. Description

4. Priority of the Task

5. Task Time Hours

Once an  Task is SELECTED it will show only that task in the side bar:

8. Task Number.

9. Task Status. This will also be color coded.

10. Asset ID for the task.

11. Asset Description.

12. Sub-Location of the equipment.

13. Building Location.

14. Cost Center.

15. Task Duration - this is the estimated time for this task (added when the skillset was chosen).

16. Skillset - this is the skillset assigned to the task.

17. Tech it is assigned to.

18. Send to Period Capacity - will allow the user to send this task back to the weekly scheduling screen.

It might be a good idea to made a note of the task number before selecting this option as it will be sent back to period capacity which will be filtered in descending order. This will allow you to find your task faster.

19. Add Skillset - this button will allow users to add a new (or duplicate) skillset and assign a new tech(s).

20. Unassign - this will allow users to unassign a tech but keep the skillset.

The option to Delete the skillset off the task is also available as if assigning the skillset to someone else.

21. Skillset Time - how much time each skillset should spend on this task.

22. Parts - this tab will show any parts associated to the task.

26. Regulatory Task the gold gavel will appear if this is any type of a regulatory task.

Adding a Skill Set and Duration to the Task:

Once the Task has reached the Daily Capacity screen of the Planner Portal it will have a skillset attached to it. But a user can add another skillset in addition to the one it already has assign to it.

27. Select the Add Skill Set Button.

28. Enter the new Skillset Time and Duration.

Users can select SAVE now and the new Skillset will be added. But if you want to assign it to someone you can select the ASSIGN TECHNICIAN AND DATE toggle to continue to that process.

29. Select the Assign Technicin and Date toggle.

30. Select a Technician and Date from the drop downs.

31. Select Save

Users would repeat this process for all skillsets added to the task.

Assigning/Unassigning a Task

32. Select the Task you wish to assign.

A task can still be assigned to a Tech even on the days that Tech isn't scheduled to work.

33. Once the task is selected it will expand to show the user the skill set or skillsets that are required for the task.

34. The Supervisor/Planner Scheduler should try to schedule this task according to the skillset assigned which in this case is Associate Technician.

There will be two ways to assign this task. The first will be to select the ASSIGN button in the grid of the tech you want and the day you want is assigned.

The second way is simply to select the ASSIGN button and this will allow you to assign to ANY technician available for the selected team. From the drop down select the Technician and the Date. Finally select SAVE.

Adding a Skillset

A new skillset can also be created from this view by selecting the Add Skillset button. Here you can add a skillset and duration. The option to assign the tech and date will also be there (not required) is you know who this needs to be assigned to.

If you click the Expand Button, you can see the Tasks that have been assigned to the Technician for any certain day.

35. Once the task is assigned the hours will show up on that day.

36. The techs name will then show up on the task tile.

37. The total progress circle at the end of the line will reflect the changes in a percentage.

Some tasks may have multiple skillsets assigned. In this case the task may look similar to this. Users will assign the same way for ALL skillsets on a task.

Unassigning a Task

1. To unassign simply check the UNASSIGN button in the task tile.

2. The name of the tech would disappear and be replaced with Unassigned.

In the case where the assigned tech calls in sick, and the work still needs to be performed on the same day, you may need to change the skillset required. 

In this case, follow these steps:

  • Unassign the existing technician using the eraser.
  • Click the DELETE button under the skillset to remove the assigned skillset.
  • Click the ADD SKILLSET button to add a different skillset of the person available to do the work.
  • Assign the new technician.
How to Assign MULTIPLE Tasks to a Single Technician

ONLY Supervisors will see this functionality.

1. Single Selection Toggle - this can be used when single or multiple task scheduling is being performed.

If multiple task scheduling is selected, when the user clicks on a task tile, it will select the tile for scheduling. They can click on multiple tasks tiles in the list in order to schedule all of them to a single tech on a specific day. The tasks selected will show as yellow.The user can also "clear all" selected tasks, as well as deselect a single task.
