9.11 How do I reschedule Tasks that didn't get completed from a prior period?

If you have tasks that were scheduled but not completed in the prior period, and they need to be rescheduled, the system will notify you that they need to be addressed before moving on.

Anything that is NOT completed within the scheduling period is automatically sent back to Period Capacity.  

Updates have been made to the system that will allow you to reschedule the task in the current period, whether you have manually sent the task back to period capacity, or whether it has automatically been sent back.

1. From the Planner Portal, click on Scheduling.

2. A Red Banner at the top will show you have overdue tasks.

3. Click the View button.

4. Ensure you have the scheduling period you wish to schedule.

The default is now the current week.

5. The drop-down is set to "To be Scheduled-Overdue."

6. You can see that information is populated for these tasks, as they have already been scheduled once.  

Depending on HOW the Task was returned back to period capacity, you will see different information.  If the Task was returned to the Period Capacity grid automatically because it did not get finished, you will see the following:

  • Status = Ready for Execution/Assigned
  • Duration is set
  • Schedule Period is set (this will be in the past)
  • Skillsets and Technician assignment are kept until rescheduled.

7. Click the boxes in front of each task.

8. Click the Schedule button.

9. Confirm that you would like to reschedule these tasks.  Click Yes.

10. A confirmation message tells you that the tasks have been rescheduled.

If you are trying to schedule from the bottom panel and the schedule button is grayed out, it may be because you need to change the period to the current period or later.  Simply click on the drop-down arrow and change it if necessary.

11. Click on the drop-down arrow next to the Starts date.

12. Change the date to the week you want to schedule the task in.

13. The schedule button becomes active.  Click that.

Notice that the Technician and skillset are retained until the Task is rescheduled in Daily Capacity.

14. Switch the view to Scheduled - Ready For Execution.

15. You can see the "Rescheduled" field now shows "1" for the tasks we just selected.

16. The Progress Overview window now has the hours for these tasks removed from the weekly schedule.

One final note:  With this release, you can also assign Priority 3,4, and 5 Tasks during the current week.  Keep in mind these are still considered SCHEDULE BREAKERS, as all P3-5 Tasks should be scheduled at least one week in advance, and should should always be planned.

  • When P3/4/5 Tasks are assigned in the current week, they will be tagged with a  "Breaks Schedule" flag This will be used for metrics to identify P3/4/5 tasks that are assigned into the current week - as these are really schedule breakers.
  • If the task does not get done during the current week, the flag goes away.

If the Task was sent back with the RETURN TO PERIOD CAPACITY button, it goes to the To Be Scheduled View, vs. the To Be Scheduled-Overdue view.  

  • Status = In Planning/Ready for Scheduling
  • Duration is set
  • Scheduling period is removed
  • Skillset and Technician assignments are kept until rescheduled.
