9.5 What information comes over from Workday into the Schedule Board in the Planner Portal?

Technician hours will be loaded into Schedule Board through an Integration with Workday.  This originally happens on a Sunday afternoon.  Basically speaking, this is just to front-load hours, so that the Planner/Scheduler can schedule the week to 100% of the weekly available hours, and then will be used again when the supervisor does the daily scheduling.

An integration runs every day to update the time off that has been entered in Workday so that the most current and accurate hours are showing on the Scheduling screens.

An integration between Workday and EFP will populate our schedule board with the technicians normal working hours for a given time period, as well as exceptions (time off). This will allow you to calculate a total available hours for a time period (day/week/month), and suggest a task schedule time based on the first shared availability of selected techs (as well as some other factors).

Important considerations:
  • All units of time are stored in Hours.
  • A full day = 7 consecutive hours with no more than a one hour break in the middle.
  • Those that are working less than a full day will be shown differently on the calendar.
  • Those working third shift will span days on the calendar.

The Planner Portal does allow you to schedule techs on their day off without having to change their Workday schedule.

  • The integration runs a few times daily.  This will allow for time off corrections if the Technician cancels a day off.
  • If a technician has scheduled time off for the day, the integration will tell you the total hours that the Tech will be AVAILABLE.

It does NOT, however, tell you the exact hours when the Tech will be working.  For example, if the Tech has requested the afternoon off on a day, and is only working 4 hours of his/her 8 hour shift, you will only see that they are available for 4 hours that day.  You will NOT be able to determine that they are unavailable in the afternoon.

In the Daily Capacity view, the Planner scheduler has a lot of flexibility to make adjustments.  S/he can do all of the following if needed:

If your tech does not show a schedule,  check in Workday to make sure they have the correct calendar schedule entered. If the tech has recently changed shifts and there are duplicate hours for a day (i.e. - 16 instead of 8) please call the help desk and asked for this to be fixed.
