5.4 My site doesn't use Workday. How can I populate a Work Schedule in the Control Center for the Daily Scheduling function of the Planner Portal?

Mexico doesn't use Workday for its timekeeping systems.   Therefore, in order to populate the hours in the Scheduling Portal (both the total hours by skillset in the Period Capacity and the hours by a technician for the Daily Capacity scheduling), you must use the Work Schedule Option in the Control Center to load the hours.

There are a number of other factors that must be addressed before you will be able to use the scheduling functionality.  For some of those details, please see the document listed below.  In this document, we will take you through just setting up the technician schedules in the Work Scheduling screen in the Control Center.

1. From the Navigation Pane of the Work Module click on Control Center.  

2. Click on Work Schedule.

3. The calendar at the top shows the scheduling periods for the site. Begin by selecting the period you want to create for.

4. The technicians for the site are listed in alphabetical order on the left-hand side.

5. Find the line with the Technician whose schedule you want to modify.  Click it to highlight it in in white.

6. The schedule will load in the window to the right.

7. Slide the override toggle to the right.

This will allow you to edit which days the Tech will be working.  By default, the schedule will be empty.

8. Click the checkbox next to each day s/he is working.

9. Enter a Start and Stop time for each day.

10. You only need to use the top row unless you want to enter a lunch time.  It is not necessary to do so.

11. If you make a mistake, you can hit the clear button, or you can type over the times you have entered.

If you have inadvertently entered time on a day when the tech won't be working, simply uncheck the "Working" checkbox to clear the data.

12. Once you have finished entering the schedule, click the SAVE button in the lower right.

13. A confirmation message tells you that the schedules have saved successfully.

As none of the Technicians in this site have schedules, you would need to move down to the next technician and repeat the process.

There is no way to copy schedules from one tech to another, but you CAN copy schedules from one week to another (either by a Team or by All Technicians) once all the schedules have been originally entered.

You cannot create scheduling periods in the past.  You can, however, create a period that has one or two days in the past, as long as the entire period has not passed.

Once all schedules have been entered for the week, you can copy the schedules from one week to the other.  This is the easiest way to do it - even if there are going to be changes for the upcoming week for a couple technicians... you can change those individually.

14. Once all of your technicians have schedules entered for the current week/scheduling period, click on the next scheduling period in the calendar to load it.

15. From the filter by Team drop-down under the calendar, you can choose "all", or select from any of the listed teams.

Most of the time, the Team with just the site number includes Site Leadership, while the one with -ATS has only Technicians who work on machines.

16. Click the Copy Previous Button.

17. A confirmation message appears.

18. Click YES.

19. In the upper right corner, you will see a message telling you that the schedule has been updated.

20. When you click on the technician for that week, you will see that the scheduled hours have been populated.

21. If you needed to modify a day of this schedule, you would click the override and make the changes from there.

22. If, for example, Jose was taking off Friday the 22nd, and working Saturday the 23rd instead -- just on this week -- it would be more efficient to copy the schedule for several weeks in advance, and THEN go back and make the change to this week to make the changes.

23. Because you already copied the "normal schedule" without the Saturday change, you will not have to keep changing that as you go forward.

24. If you have a tech that is going to work third shift, you would simply enter their time broken down into two segments... the morning shift for the day and the time for the evening shift.

Remember, it is not necessary to enter a lunch break because this is just to populate hours into the Scheduling App, not to feed your Timekeeping system.

In our example, the tech is working Sunday night (starting at 10:00 PM) through 6:00 AM on Monday.  

25. On Sunday, you would enter a 10:00 PM  Start Time and a 12:00 AM Stop Time.

  • Time can only be entered in 15 minute increments, so you want to choose 12:00 AM vs. 11:45 PM.   Choosing 11:45 PM would cause your scheduling metrics to be incorrect.
  • In the background, the database will convert the 12:00 AM Stop Time to 11:59 PM.

26. On Monday, you need to enter two lines:  first for the morning shift from 12 AM - 6 AM.  The Second line needs to contain the beginning of Tuesday's shift (10 PM -12 AM for Monday night.)

You would follow this process for anything that overlaps a day.
