7.23 Editing an Attachment on a Job Plan

Steps in the screenshots correspond to the numbers in the headings.

At any time, you can add or delete an attachment from an existing Job Plan.  As always, we will remind you that attachments are limited to a 20 mg file size, and really should be kept to things that are specifically related to the job plan.  

A large document, like a technical manual, should not be attached, but rather scanned and kept on the ATS Knowledge Base for your site.

1. In the Planner Portal, find the Job Plan you want to edit.

If necessary, use the filters to locate the Job Plan in question.

Remember, you can always COPY the job plan if you want to keep the original job plan and modify a copy.

2. Click on the three vertical dots at the end of the line and choose Edit Job Plan.

3. The Job Plan Opens to the Summary Tab.

4. Click on Attachments to go to the Attachments screen.

5. Any existing attachments will show up in the box.  If there are currently no attachments, this would be listed as well.  

6. By clicking on the three dots at the end of the line, you can either download or delete the attachment.

In our case, we want to add two more attachments to this Job plan.

7. Click Choose File.

8. Find the file you want to upload, highlight and click Open.

9. Enter a description.

10. Click Attach File.

Two confirmation messages will show in the upper right corner.  One tells you that the attachment is being uploaded and the second tells you that the attachment uploaded successfully.

11. Repeat the process until all attachments are added.

12. Because you have received the Confirmation messages that the Attachments uploaded successfully, there is no need to further Save.

If you want to make further edits to Steps/Equipment/Parts, etc., simply click on the word at the top to bring up the screen.

13. Once you have finished, you can return to the grid by clicking on the button in the lower right, or the Red X in the upper right of the screen below the site number.

Adding a Hyperlink to a Job Plan

The Attachment section is limited to 20 MG and often are used more at the Task level than at the Job Plan level.  Some of our customers require that the site access the customer's document when performing a PM, and in this case, an attachment to the Job Plan would work well.

Some possible uses for the Links section vs. the Attachment section include:

  • SkillPoint shorts videos
  • R360 Data
  • Posts on the Maintenance Forum
  • The OEM Manual from the Knowledge Base
  • Schematics showing where on the machine to access the portion being PMed.
  • Photos showing proper vs. improper application, settings, etc.

16. A popup box appears.

When you hover over the URL wording, you can see how it should be formatted.

19. Click Add.

21. Click Save.

22. Use either the Red X in the upper right corner or the "Return to Grid" button to go back to the Job Plan Grid.

  • When this Job Plan is assigned to a task, either in the Planning Wizard, or generated automatically through the PM Generation process, the Link will be copied over.
  • The link will also be copied over when the Job Plan is copied (even from site to site.)

You can see on the Job Plan below, there is already a link to a Skill Point Short video.  We meant to add a second video for reference, but are accidentally trying to paste the same link as what is already there.

24. The warning message appears under the URL

25. Click Cancel to return to the screen.

You COULD add the link and edit it later.  It is up to you.  From here, you can carry on as usual.
