9.10 How do I see the Tasks that have been marked Ready for Execution for a Scheduling period on the Schedule board?

Steps in the screenshots correspond to the numbers in the headings.

Scheduled/Ready for Execution is one of the pre-set filters in the Schedule board.  The period capacity view will show you the percentage of Tasks that have been scheduled for each skillset, but if you want to see actual tasks that have been marked "Ready for Execution" for a period, you can do that easily by following the instructions below.

1. From the Navigation Pane of the Work Module click on Planner/Scheduler.

2. Click on Scheduling.

3. The current scheduling period is highlighted.

Not all scheduling periods need to run Sunday through Saturday.  It is up to your site as to which day of the week your schedule should start on, and the day it will end on.

4. In the Period overview window, you can see the percentage scheduled for each skillset on the top row, with the actual hours scheduled and the number available on the row underneath.

Remember, these hours are coming from Workday through an integration.  They are updated several times a day.  In our example, for the period of 6/19-25 the total available hours were 272 hours.  This was broken down in the following manner:

  • Associate Technician:  120 hours available, 28.53 hours scheduled.
  • Tech 1:  80 hours available, 26.03 hours scheduled.
  • Tech 2:  0 hours available, 3 hours scheduled
  • Specialist:  40 hours available, 5.02 Scheduled
  • Senior Technician:  32 hours available, 1 hours scheduled.

5. The default view is Ready Backlog.

6. Click on the drop-down arrow to see other preset views.

7. Change the view to Scheduled - Ready for Execution.

8. The Ready for Execution view loads.  From here, the easiest way to see which Tasks are scheduled for this period is to use the filters.

9. Click on the Funnel icon.

10. Scroll down to the Scheduling Period filter.

11. Click on the arrow at the end of the line to see the filter option.

12. By default the Scheduling period works off Offset Dates.  You have the option to change this to Date or enter an exact date by picking from a calendar.

We have shown both options.  You can use whichever one makes more sense to you.

13. You must hit the Apply button to engage the filter.

14. You can now see the tasks that are scheduled for this period (as highlighted in yellow.)  The required skillset(s) for each tasks are listed next to the star on the right side of the row.

15. If you wanted to narrow it down for just a single skillset, you could do that by simply adding that filter.

16. And, of course, you can always click on the Task ID to see/edit the details.

If the task does not get completed in the assigned scheduling period, it will automatically be sent back for rescheduling.  The skillset and Tech assignment will be kept until it is reassigned in the Daily Capacity screen.  This reduces the amount of work the P/S has to do when rescheduling the Task.
