6.2 PLANNING WIZARD: What do I have to do to have a task be included in my "Planned" Metrics?

It is always a good idea to stay on top of your data!!!  If you update data older than 4 months, you will not see the changes until the following Monday.  (It refreshes Sunday overnight.)  If your data is older than 13 months, it may not be worth updating.  The changes will not show up until the second day of the next month.

Steps in the screenshots correspond to the numbers in the headings.

eFP measures not only Proactive/Reactive and Other Task types, but also what percentage of your work is Planned.

The fastest and easiest way to add steps and a duration to a task is through the Planning Wizard in the Planner Portal.  This document will give you an overview, but if you need more info, please see the information here.  

If you have "blank" Job Plans (MOTH Work Order types), it is easiest if you change the Job Plan first. Follow these instructions to make sure your Job Plan meets the planned requirements.

1. Log into the Planner Portal and from the Navigation Pane click on Planner/Schedule and select Planning.

Remember that all tabs work in conjunction with each other, and that information can be entered on any of the tabs.

2. Click on Job Plans from the Planning Module.

3. Click on the filter icon and narrow your selection to what is most appropriate.

  • In our case, we chose Category is Blank and Description contains CM/FM and hit Apply.

4. The results populate.

5. Click on the three dots at the end of the line and choose Edit Job Plan.

6. The Job Plan loads on the Summary Screen.

7. If this Job Plan was copied from another Job Plan, you will see the source Job Plan ID listed here.

8. Click on the Steps button.  

9. Modify the text in Job Steps for the Work that needs to be done.

After scoping out the job, these Job Plans can become more and more detailed.  This allows for more complete instructions and better Work Execution Management at the site.

10. If you have added or changed any of the steps, be sure to click the SAVE button before moving on to the Time and Skills button.

11. Go to the Time and Skills Tab.

12. Click on the icon and use the arrows to adjust the hours and minutes.  

13. Click Set.

Skillsets are required to be added at this time. While initially this seems very time intensive, the amount of time it will save you in the long run is great.   If you do that here, they will transfer over to the Task, and flow through Period Capacity and into Daily Scheduling.

14. Click the +New Skillset button.

15. Choose a skillset from the drop-down.

Available options are Associate Technician, Tech 1, Tech 2, Sr. Tech & Specialist.  

16. Enter the quantity needed for each skillset.  

In this case, we just need one Tech.  If you needed two Tech 1s to do the work, you would enter a quantity of 2.

17. Enter the time you need the skillset for.

It is possible that if you have more than one skillset, you could have different times.  For example, you may need a Specialist to help with the first 30 minutes of the Troubleshooting.  In that case you would have two lines here.  You would simply add a second line that said Specialist, Qty of I, and 30 minutes.

18. The delete option is available under the three dots if you have made a mistake.

19. Click the Save button when you are finished.

20. Once a task generates that you want to use this Job Plan on, you will assign it in the Planning Wizard.  Go to Tasks under Planning in the Planner Portal.

21. You can see from the grid that task 3328941 has no duration and only one step.  It currently does NOT meet the criteria for being Planned.

22. Click the check box in front of the Task ID and click the Magic Wand icon to take it into the Planning Wizard.

23. As there are no Job Plans associated with this equipment, click the Search Job plans button.

24. Find the job plan you need and click Assign.

25. The Summary Panel will show that the Planned Criteria have been met.  

As previously mentioned, the Steps, Duration and Skillsets will flow through to the scheduling module as well.

26. When the Task has been completed, it will show up in the Planned Task Hour Metric in Power BI.

As a company that follows Work Execution Management guidelines, we are not interested in just adding a single step, duration and skillset.  As a best practice, you should really work at creating a reusable job plan for any work you are going to do more than once.  This allows the technician to give feedback on the job plan and allows for continuous improvement.  If there is a job plan associated with the task, eFACTORYPRO will track changes to the job plan.  This allows us to get better at planning and execution of or Work Management.
