7.5 I have a PM Job Plan/Task Template that I do not want to use on a machine anymore. How should I handle that?

Steps in the screenshots correspond to the numbers in the headings.

In our example, Job Plan/Task Template 1758 is no longer valid, and we want to remove it from all the equipment that it is on.  We can run the PM List Report to see which equipment has this Task Template to ensure that we are removing all instances of the Template.

To Change the Task Template in the Client:  

1. As a first step, go to the Job Plan/Task Template and modify the description to start with "DO NOT USE".  This ensures that no one accidentally chooses the Task Template in the future.

From the Main Menu, go to Service > Admin > Task Template.

Expand the red chevron in the search field.

Type the Task Template ID in the appropriate field and click the green magnifying glass.

Enter "DO NOT USE" in the beginning of the Description field.

Click SAVE in the header or use Control + S.

2. Now you modify the PMs for the Equipment on the contract.  From the Main Menu, go to Financials > Contract.

3. Enter your four-digit site number followed by PM.

4. Click the green magnifying glass.

5. The Contract loads.

6. In the lower workspace, click on the Lines tab, then click on the first SEQ number.

7. The breadcrumb will show you are working in the Contract Lines.

8. Click to expand the red chevron.

9. Click the Place tab.

10. Enter the Asset ID.

11. Click the green magnifying glass.

12. Click the PM tab in the lower workspace.

13. Highlight the row that contains the Task Template you will no longer be using.

14. Check the PM Schedule Section (the lowest section) to see if any work has been completed.  This is viewable by scrolling over to the far right and checking for Task Completed dates.

If none of the generated tasks have been completed yet on this PM, you can simply Delete the PM Schedule Line.  This means that you would delete the line that says 1758 in this example.

15. If work has been completed on the Template, you will NOT be able to delete the Task Template from the record.

16. To make it easy to spot that this PM is no longer in use, change the PM Schedule Rule to 8 YEAR and SAVE.

17. The PM Schedule Rule will update on the bottom of the screen.

18. Click on the PM Schedule Status and change it to Schedule on Hold.

19. Click SAVE in the header or use Control S.
